Work Performed:
- Main point of contact for Directors when requested for daily duties such as conference calls, meetings, invoice tracking, project status and employee related needs.
- Set-up and track all building related capital projects and close-outs upon the completion of jobs. Some projects are completed on emergency basis which requires flexibility when necessary.
- Compiles and expedites for approval project related contracts such as HVAC, roofing, paving, electrical upgrades, etc.
- Review and code all invoices for capital projects, building operating expenses and land held for Atlanta portfolio in Nexus payables system.
- Manages payments to Highwoods Atlanta Business Associations
- Create and update existing Master Agreements and Certificates of Insurance used for vendors and contractors that are to be paid.
- As needed, reviews and uploads Certificates of Insurance to Nexus and Prism.
- Assists with sorting and delegating in Nexus invoices from property accounting.
- As needed, pick up and sort mail for office distribution.
- Oversees ordering of uniforms for all maintenance personnel.
- Schedules division team meetings to include calendar requests and conference room reservations.
- Assists property administrator with Office Management as needed and supports division Accounting Manager with purchase card reconciliation.
- Supports onsite Property Management team on an as needed basis during their absence with Customer needs.
Job Requirements:
- Ability to prioritize and work both as team member and independently.
- Effective communication skills when dealing with vendors, contractors, co-workers, and customers.
- Must be detailed oriented and organized with ability to multi-task.
- Prior accounting, commercial real estate, and customer service skills preferred.
- Computer proficiency with Outlook, Word, and Excel. Experience in Nexus and Building Engines a plus
Education/Experience:
- 2 - 4 Years working in office administrative role
- Associates degree
Work Environment:
- This job operates in a professional office environment, as well as throughout a variety of properties. The employee may be exposed to construction sites and various weather conditions.
