POSITION SPECIFICS

TheDepartment of Education Policy Studiesseeks to fill anAcademic Program Coordinator, a vital position in our Educational Theory and Policy Program.

The successful candidate will be part of the administrative team that supports department functions, including students in the graduate and undergraduate programs.

The Academic Program Coordinator will work both independently and collaboratively (with minimal supervision) when completing this position's responsibilities, which include but are not limited to:

  • Serve as the initial contact for visitors and prospective students; independently research and respond to inquiries

  • Support the department head, faculty, and graduate directors with scheduling, correspondence, and meeting logistics

  • Build course schedules; monitor course enrollments

  • Coordinate the student admissions process (e.g., communicate with and update prospective students, organize and submit applications for faculty review)

  • Schedule exams

  • Monitor student major requirements

  • Conduct revisions to the graduate program handbooks and website information

  • Serve as liaison with Office of Global Programs supporting visiting scholars

  • Communicate with graduate degree and certificate students about deadlines, policies, and procedures

  • Maintain program databases, including creating and maintaining student files and databases

  • Monitor records for compliance with the retention policy

  • Prepare graduate assistantship offer letters and contracts

Additional duties include:

  • Monitor program-related budgets/cost centers

  • Process SAP Concur reports and program purchasing card transactions

  • Assist with the promotion and tenure review process

  • Coordinate special events, seminars and activities, including arrangements for facilities (on campus and off), supplies, technology, and food service

Qualifications:

  • Excellent communication and interpersonal skills; inclusive and respectful when working with others

  • Outstanding organizational skills and driven to provide excellent customer service

  • Capacity to manage multiple priorities with a high level of professionalism

It is preferred that candidates have experience with at least one of the following: student information platforms, course and/or room scheduling tools, faculty activity reporting software, or travel and expense management system.

Candidates should also be proficient with Microsoft Word, Excel, and Access.

Experience working in an academic unit at a university is also desirable.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
