The following is intended to describe the general nature and level of work being performed. Position Summary: Under general direction, provide responsible secretarial and administrative services for the unit exercising independent judgment and initiative.

Duties and Responsibilities:
- Perform routine administrative duties such as word processing/typing, filing, verifying information, coordinating flow of documents and scheduling events and meetings
- Operate personal computer to enter data, compile and type reports, prepare letters and general correspondence
- Provide responsible administrative support to carry out the mission of theunit, including using Banner daily
- Maintain and disperse emails appropriately from Advising Center email inbox.
- Assist with the monitoring and tracking of early alert notifications, contacting students as necessary to complete the admission and registration process
- Assist students with approved course registration changes
- Prepare routine mass mailings
- Adjust advisor schedules as needed for emergencies or unforeseen events
- Arrange meetings and conferences: to include preparing agenda, reserving meeting rooms, assembling and summarizing information required for coverage of agenda items, preparing and distributing minutes reflecting business covered to appropriate individuals
- Review, sort and distribute incoming mail
- Receive, screen, and as necessary, refer telephone calls to appropriate offices
- Organize and maintain office files including confidential materials
- Monitor and review budget information monthly to present to supervisor
- Assemble business materials needed for conferences, open houses and campus events
- Oversee and assign work to student office assistants and review completed work
- Oversee and provide guidance to staff personnel in the unit
- Oversee and maintain student office assistants, support staff, and part-time advisors' payroll
- May be required to oversee the unit's assessment system and/or website
- Asist in FYEX training, workshops and FYEX events.
- Assist FYEX coordinator
- Maintain and disperse workshop RSVP's, recordings and information to distribute as necessary.
- Assist part time advisors during registration.
- Regular and predictable attendance is required
- Perform other job-related duties and projects assigned in support of the University's mission, core values, and goals
Minimum Job Requirements: High School diploma and 3 years of directly related experience, or an associate's degree and one year of experience required. Experience withBanner, admissions and registration procedures is preferred. Knowledge, Skills, and Abilities:
- Thorough knowledge of office management policies, methods and procedures
- Ability to independently interpret a wide variety of policies and procedures
- Ability to write clear and concise reports
- Ability to gather data and complete routine assignments independently with general instructions
- Ability to plan and organize the workflow of the unit
- Ability to establish and maintain cooperative working relationships with faculty, administrators and others
- Ability to work in an environment of constant interruptions via telephone and walk-in traffic

Working Conditions

Physical Demand and Working Conditions:
- Work is performed inside during normal work hours with some evening and weekend hours required during fall registration
- Work is sedentary in nature and at times requires exerting up to 25 pounds of force occasionally and/or a consistent amount of force frequently or constantly to life, carry, push, pull or otherwise move objects.
