We are seeking a highly organized and detail-oriented Proposal Coordinator to join our team in Boulder, Colorado. This onsite position plays a key role in supporting the development, coordination, and submission of high-quality proposals and related documentation. The ideal candidate will excel in managing multiple deadlines, collaborating with cross-functional teams, and ensuring compliance with all solicitation requirements. This role requires strong communication, writing, and editing skills, as well as a proactive approach to maintaining organization and consistency throughout the proposal process.
Qualifications
Minimum Requirements:
- High School diploma or GED required.
- At least three (3) years of experience providing administrative support in a professional office environment and position.
- Excellent communication and interpersonal skills.
- Excellent organizational skills.
- Excellent reasoning, problem solving, critical thinking, and analytical abilities.
- Excellent attention to detail.
- Ability to handle multiple tasks simultaneously and to prioritize appropriately.
- Ability to work well under pressure and meet deadlines, with flexibility to work overtime as needed to meet proposal deadlines.
- Advanced knowledge of the MS Office suite (Word, Excel, PowerPoint, Outlook, etc.).
- Proactive and proficient research skills.
- Familiarity with Adobe Acrobat preferred.
- Ability to work with computers and the necessary software typically used by the department.
Working Conditions: Encountered on a regular basis as part of the work this job performs. Use of standard office equipment such as copier, computer, keyboard, telephone, and fax machine.
- Must have clear vision at 20 inches or less, the ability to identify and distinguish colors, and the ability to adjust focus in order to compile and ensure quality of final hard copy proposals.
- Must be able to lift and carry boxes of binders, supplies, etc.

Responsibilities
Summary: The Proposals Coordinator provides administrative, project, and process support to the Proposals Department team. This position supports the development, coordination, and submission of high-quality proposals and related documentation. Manages multiple deadlines, collaborates with cross-functional teams, and ensures compliance with all solicitation requirements. Provides a proactive approach to maintaining organization and consistency throughout the proposal process. Primary Duties and Responsibilities:
- The Proposals Coordinator proactively monitors industry websites, internal watchlist, bid services inbox, and third-party bid aggregators to acquire relevant solicitations in a timely fashion.
- Coordinates bid decision activities with Partner Development leadershiP.
- Supports the development, coordination, and submission of high-quality proposals and related documentation.
- The Proposals Coordinator tracks and reports on all bid and no-bid opportunities.
- Maintains updated Master Vendor Registration log information.
- Responds to data call requests from proposal lead for required documentation, completion of agency forms, and other administrative proposal development tasks.
- The Proposals Coordinator manages multiple deadlines, collaborates with cross-functional teams, and ensures compliance with all solicitation requirements.
- Provides production assistance, including all aspects of hard-copy proposal submissions (binders, tabs, USBs, and printer maintenance).
- Coordinates signatures and notaries as needed.
- Maintains organization and consistency throughout the proposal process.
- The Proposals Coordinator manages federal district RFQ process.
- Actively maintains, updates, and audits salesforce reporting for all bid and no-bid opportunities.
- Provides monthly, quarterly, annual, and ad-hoc proposal statistic support.
- Coordinates with the larger BI organization to obtain updated corporate statistics on a quarterly basis.
- Supports FOIA and post-award documentation requests (only for opportunities where BI submitted a proposal).
- Conducts ad-hoc research requests to support product/business development efforts.
- Prepares materials for onsite strategy sessions and page through meetings, including coordinating meals.
- Coordinates all travel activities.
- Maintains proposal supplies to support hard-copy production efforts.
- Performs other duties as assigned.
