Job Description

The Theater Operations Coordinator (TOC) provides a client relations service that assists with gathering information about events and translating that information into our event management systems for use by the staff on the event day. This position also helps to make sure the client obtains all necessary permits and documentation of coverage as required by their usage agreement. Additionally, the TOC may act as the venue representative on larger events providing a central point of contact, coordination, and problem solving for all operational areas. On rare occasions, the TOC may act as the Technical Director facilitating the direct running of an event.

The TOC with a facility and vendor liaison focus has a specialization in overseeing and coordinating the activities of campus and external third-party resources to support events as needed. This includes but is not limited to Campus Central Facilities, Campus Custodial Services, Operations Facility Management, Event Operations, concessions vendors, labor vendors, security vendors, backline providers, rental equipment as well as the City of Columbia for parking coordination. This role requires exceptional organizational skills and the ability to work collaboratively with various departments and external partners as well as internal units.

General Responsibilities

  • Performs routine tasks using existing procedures, practices, and techniques; handles standard assignments while suggesting improvements for efficiency and resourcing
  • Solves routine problems using established methods
  • Adheres to project schedules and budgets
  • Works within standardized practices to meet objectives and deadlines.
  • The role involves straightforward information exchange and developing collaborative relationships with internal teams.

Event Planning

  • Work with clients to obtain advance information about their event needs and translate that into our management documentation as well as work with the operations teams to ensure a smooth and surprise free day of event run.
  • Work with clients to obtain the necessary permits and evidence of coverage needed for their events.

Event Coordination:

  • Contribute to weekly planning and coordination meetings.
  • Coordinate with internal and external partners to provide the following services:
  • Additional technical labor
  • Custodial labor
  • Facility maintenance, repair, and upgrades
  • Concessions services
  • Security services
  • IT support
  • Limited artist hospitality
  • Equipment rentals
  • Backline rentals
  • Parking and transportation logistics

Event Execution:

  • For larger events prepare venues for upcoming events for assigned shows, ensuring all logistical needs are met.
  • Occasionally, lead staff and crews at setup, rehearsal, run, and tear down activities.
  • Occasionally, operate staging, rigging, lighting, audio, and video equipment as needed.
Shift

Monday-Friday 8am-5pm, with possible flexible schedule to assist on nights and weekends

Minimum Qualifications

Associate's or Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary

Anticipated Hiring Range

Salary Range: $18.87-$25.00/hour
