Position Summary: The HR Governance Coordinator supports the development implementation, and ongoing administration of enterprise-wide HR governance and compliance initiatives. This role ensures that HR policies, processes, and programs align with internal controls, legal and regulatory requirements, and organizational risk mitigation strategies. Acting as a liaison across HR Centers of Excellence (COEs), business units, and external vendors, the coordinator is responsible for documentation, reporting, and operational support to strengthen compliance and governance. As an HR Governance Coordinator, you'll be the backbone of our compliance and immigration operations - the person who makes sure nothing slips through the cracks. A day in this role might look like:
- Reviewing upcoming employment eligibility reverifications and submitting updates in SuccessFactors.
- Collecting and organizing documentation to support a new H-1B or H-2B case, or helping prepare materials for a DOT audit
- Partnering with Talent COEs to triage basic immigration & compliance questions or review resumes for compliance checkpoints.
- Reconciling invoices from vendors and preparing a quick compliance dashboard for leadership.
- Auditing policy logs at the end of the day, noting pending approvals, and flagging potential risks to your manager.
No two days are the same, but every day you'll play a vital role in keeping our people processes accurate, compliant, and future-ready. Key Responsibilities: Governance & Compliance Administration
- Maintain centralized logs for policy updates, approvals, and compliance attestations.
- Partner with Legal, Risk, and internal HR stakeholders to ensure compliance with federal, state, and local regulations.
- Support compliance activities related to company policies, global mobility, and required state and federal reporting/notifications
- Manage compliance file lifecycle, from document collection and validation to timely completion of required actions.
- Maintain DOT-related employee files and assist in preparing documentation for audits and regulatory reporting.
Immigration & Employment Eligibility
- Manage employment eligibility reverifications in compliance with I-9 and federal requirements.
- Create and organize supporting documentation and maintain case files for immigration programs (H-1B, H-2B) under the guidance of the Global Mobility Program Manager
- Serve as the first point of contact for basic immigration case status or process questions, and promptly escalate substantive or complex questions to the Global Mobility Program Manager or external counsel
- Coordinate immigration record updates by engaging with internal stakeholders, compiling necessary information, and ensuring documentation progresses through the appropriate channels.
Reporting & Tracking
- Maintain and update records in SuccessFactors for immigration, relocation, and nepotism cases.
- Track immigration and compliance-related deliverables and documentation to ensure accuracy and audit readiness.
- Prepare and reconcile invoices and purchase orders (POs), providing timely and accurate reporting.
- Deliver regular updates on immigration filings, re-verification status, and governance activities to the Global Mobility Manager and leadership.
Audit & Risk Support
- Conduct periodic audits of immigration, reverification, and compliance files (H1B, H2B, DOT, I-9) to ensure accuracy and audit readiness.
- Monitor compliance trends, identify gaps, and recommend process improvements to reduce risk.
- Partner with HRIS and IT to ensure system data integrity in SuccessFactors and other HR platforms.
- Assist in documenting standard operating procedures (SOPs) for governance and immigration processes, ensuring consistency and scalability
- Support internal and external audit requests by compiling accurate documentation and reports.
- Maintain confidentiality and discretion when handling sensitive employee, compliance, and company information.
Requirements:
- Bachelor's degree in human resources, Business Administration, Compliance, or related field or 3 years supporting HR compliance (immigration and/or programs that are governed by federal agencies).
- Proficiency with Microsoft Office Suite; experience with HRIS (e.g., SuccessFactors) strongly preferred.
- Experience working with third-party vendors, auditors, or external counsel.
- Strong organizational skills and attention to detail; ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong interpersonal and communication skills with a collaborative mindset
Preferred Qualification:
- Familiarity with employment eligibility (I-9), basic immigration case processes (e.g., H-1B, H-2B), and DOT compliance practices is a plus.
- 2+ years of experience in HR operations, compliance, or immigration support preferred.
