Why us, why now?

Library Specialist is responsible for the timely delivery of information services, including printed, non-printed, and electronic information from AAMC and non-AAMC sources as requested by leadership, staff, members/constituents, and academic medical education partners. Key responsibilities include searching of academic databases and popular press sources to answer complex questions related to academic medicine; data management of information to classify and catalogue documents and other artifacts based on media type, records retention policies, and acceptable use. The position also contributes to the development of policies, procedures, systems, identification of additional data sources, and processes for AAMC reference materials and literature research/reviews. Collaboration and coordination across clusters, member and constituent groups, and internal support functions is an essential part of the position contributions to the AAMC.

How will you make an impact?

Provides expert-level direct information services to patrons:

  • Deliver high quality academic literature searches to provide a strong foundation for AAMC articles, reports, advocacy, and professional development opportunities.

  • Utilize interlibrary loan services, document delivery, and archival resources to provide patrons with access to needed information.

  • Develops and maintains the Reference Center and Archives' intranet page and other internal resources.

Provides information services to support AAMC initiatives and priorities:

  • Provide support to the proposed Data, Analytics and Research, the COE, and Policy and Advocacy Hub and Spokes including:

  • Assisting in the development and implementation of systems and monitoring of requests for bibliographic verification and literature, citation, and electronic searches related to use of AAMC data, research, and resources

  • Contribute to the design, development, implementation, and maintenance of AAMC research in collaboration with DOS, IT, and Survey and Research Central in support of the Data Analytics and Research Hub and Spoke Model

  • Maintain accurate data on service requests and requests from leadership for literature reviews, archival activities related to collection of artifacts, and review of citations and references to AAMC data, research, and information in the public domain.

Support AAMC Reference Center and Archives Operations:

  • Provide input and guidance to the management of the software and reference materials budgeted in the Reference Center for staff professional development and operational needs, including tracking usage data and troubleshooting basic technical issues.

  • Contribute to the preparation and management of the annual budget, quarterly forecasts, and oversight of the AAMC Reference Center and Archives.

Knowledge Management and communications related to the AAMC Archives and Document Management and Retrieval:

  • Contribute to the development of reference, research, and information literacy programs for AAMC staff.

  • Support AAMC activities related to the "Value of Academic Medicine" in collaboration with OCOMM cluster.

  • Support AAMC policy and advocacy activities related to access to AAMC archived documents and artifacts as directed by the OGR cluster.

  • Engage in continued professional development with a focus on best practices, standards, and regulations regarding data privacy and security, document management, and related topics

Contribute to unit process improvement and training as well as to AAMC process improvement and training:

  • Specific responsibilities and deliverables related to this duty include:

  • Identify and report issues and opportunities with data accuracy and process efficiencies related to document retention.

  • Seek opportunities to integrate technology systems and innovations into AAMC's research and records management functions including but not limited to artificial intelligence tools

  • Consult with colleagues and members/constituents on ways to enhance value and analysis of AAMC archived information.

  • Contribute to IT and Facilities initiatives related to infrastructure changes, data access and security, and system modernizations and updates, as required.

What will you bring to the role?

Required Qualifications:

  • Bachelors degree in humanities, library science, or business from an accredited college or university

  • Preferred: Master's degree in library and information science or data science from an accredited college or university.

  • 3-5 years of related work experience

  • Experience in an academic or special library responding to reference requests of varied complexity.

  • Strong written and verbal communication skills.

Preferred Experience:

  • Experience with interlibrary loan, digital archive management systems, and records management

Remote Work Eligibility

This position is eligible for remote work in the contiguous US

Compensation Grade Range

$59,160.00-$69,600.00

Multiple factors are taken into consideration to arrive at the final hourly rate/annual salary to be offered to the selected candidate. Factors may include, but are not limited to, the scope and responsibilities of the role, the selected candidate's work experience, education and training, as well as internal equity, market, and business considerations.

If a bachelor's degree is required, related work experience may be substituted in some positions. One year of college course work at an accredited institution is equivalent to one year of related work experience.
