Director of Intake and Admissions

The Ridge Behavioral Health System is a 110-bed hospital offering psychiatric and substance use disorder treatment for children, adolescents, and adults.

Our specialized treatment services are provided by a multidisciplinary team of highly trained psychiatrists, psychologists, social workers, addiction counselors, nurses, and activity therapists.

The Ridge Behavioral Health System prides itself as being the only free-standing psychiatric hospital in the Central Kentucky area. We have provided behavioral health services to over 92 Kentucky counties for over 39 years.

The Director of Intake and Admissions will be accountable for directing the Admissions Department activites at the facility. As a clinician, this position provides direction to a staff of specialists in the provision of psychiatric assessment services, including clinical evaluations, crisis intervention, and referrals. This position interfaces closely with the medical staff, fellow department heads and administration, treatment team/external case managers/managed care organizations, and functions as a liaison with other hospital intake departments.

  • Job Duties/Responsibilities:

  • Provides orientation to new employees, including phone skills, Intake Calls, Business Office procedures, admission criteria and office procedures.
  • Supervises employees of the Assessment department to ensure assigned duties are complete.
  • Attends weekly AR Meetings
  • Follows-up on all employee issues and provides corrective action or counseling with employees as needs arise.
  • Cooperates actively with Human Resources to recruit department staff.
  • Collaborates with Business Development in the facility's ongoing Marketing efforts.
  • Interviews applicants, following HR policies and procedures; recommends the best-suited candidate for selection.
  • Provides Intake Call, EMTALA and COBRA training in New Employee Orientation.
  • Increases or decreases staff based on business demand and call volume.
  • Communicates performance expectations to Assessment and UR staff.
  • Communicates with HR Director regarding employee problems.
  • Reinforces positive work performance with assessment staff.
  • Takes call one week per month or as needed.
  • Responds to office calls and needs with 15 minutes of request.
  • Ensures staff follow-up with "no show" appointments.
  • Maintain filing of office documents; Patients assessment of those not admitted to our facility.
  • Educates staff on Intake Call procedures and importance of process and timeliness, thoroughness of information reported.
  • Analyzes Intake Call data for demographic patterns, clinical trends and other key management considerations; relays pertinent findings to director.
  • Identifies training needs of department staff.
  • Recommends changes or improvements of departmental operations and requests supplies as needed to CEO.
  • Follows-up on tasks or assignments requiring further attention.
  • Gathers data and trends identified areas of improvement possibilities reporting said information to Quality Council.
  • Participates in Senior Management and follows-up on issues identified in this meeting.
  • Conducts daily flash meetings.
  • Coordinates Mobile Assessment Team scheduling and credentialing.
  • Maintain regular communication with Mobile Assessment locations for ongoing education and compliance with contractual agreements.
  • Manage physician assignments on a daily basis in accordance with Medical Staff Bylaws. Communicate routinely with facility Medical Director.
  • Conducts screening and/or assessments in keeping with clinical knowledge, skill level, and department policies.
  • Ensures Intake Call data is maintained and entered daily.
  • Facilitates clinically appropriate admissions to hospital services, congruent with needs and resources of caller.
  • Refers callers to appropriate resources that optimally meet callers' needs.
  • Demonstrates sufficient understanding of services available in the community.
  • Interacts professionally and effectively with physicians and other clinical staff.
  • Interacts cooperatively with professional liaisons, supporting the facility's ongoing efforts.
  • Interacts well with referral sources; facilitates prompt communications in the best interest of the patient and the facility's operations.
  • Provides access to facility services based on admission criteria.
  • Communicates assessment recommendations to patients and families.
  • Demonstrates knowledge of programs &/or unit services, policies, and procedures.
  • Demonstrates effective time management skills; organizes work so that critical assignments may be completed promptly, accurately, and thoroughly.
  • Follows proper de-escalation techniques when handling crisis situations.
  • Provides appropriate crisis intervention as necessary by anticipating and responding quickly to escalating behaviors, utilizing de-escalation techniques to diffuse the situation, correctly prioritizing safety concerns.
  • Uses appropriate counseling skills by de-escalating aggression, using active listening skills, using appropriate tone and volume of voice, providing a high frequency and variety of positive reinforcements, maintaining appropriate boundaries, and promoting a positive peer culture.
  • Demonstrates proper procedures for therapeutic holds and seclusions.
  • Patient belongings are properly inventoried and logged.
  • Contraband is properly removed and disposed of according to policy.
  • Fosters staff development and growth of team. Encourages an environment of high accountability to department and facility.
  • Ensures staff comply with assigned education requirement in a timely manner (i.e. CIA training, HIPAA training, competencies, etc.
  • Actively participates and champions the facility's Service Excellence and Recognition Programs.
  • Other duties as assigned.

Qualifications

EDUCATION:

Master's Degree in Counseling, Psychology, or Human Services field or a Registered Nurse

EXPERIENCE:

  • Minimum of five (5) years direct clinical experience in a psychiatric or mental health setting desirable.
  • Working knowledge of the Addiction & Recovery field and experience in clinical interviewing, patient assessment, family motivation, treatment planning, communicating with external review organizations or comparable entities, and working effectively with people of diverse backgrounds.
  • Minimum of three (3) years of managing a professional / clinical team and responsing for staffing, budget, and process improvements.

CERTIFICATIONS / LICENSURE:

  • Crisis intervention training required. This is offered upon hire.
