Position Overview

The Senior Space Planner will work with Facilities and other key stakeholders to plan, optimize, and coordinate company-wide space utilization within a dynamic work environment. This role will partner with internal customers seeking additional or redesigned space, as well as external vendors, contractors, and design professionals to provide interim and long-term proactive space solutions. The Senior Space Planner will routinely analyze space usage and departmental requirements to develop, plan, allocate, and implement space plans in new and existing facilities based on forecasted needs. This role will develop personnel and moves within a facility and from facility to facility, working with the Supervisor, Moves and Alternations. The Senior Space Planner will maintain current facility floor and furniture plans and oversee the management of attribute data in the CAFM/IWMS tool.

Essential Duties

Include, but are not limited to, the following:

  • Develop near and long-term space occupancy plans and analysis based on team feedback, annual growth projections, and changes in overall business priority and space allocation strategy.
  • Maintain and utilize corporate design aesthetic in specifying finished, materials, and furniture in assigned portfolio of facilities, including international facilities.
  • Handle escalated matters prior to management involvement and keeps management informed of any work problems and issues.
  • Design, plan, and coordinate workstation/office and equipment moves/additions/changes (MACs) based on stakeholder requirements.
  • Forecast space requirements based on verified existing space information, forecasted supply/demand of space, and growth projections.
  • Maintain accurate floor and furniture plans across the organization, including block and seating plans.
  • Develop and maintain tracking mechanisms for monthly space utilization reports. Manage and maintain space allocation, space assignment, space signage, and office occupancy metrics within a CAFM/IWMS system.
  • Identify areas of improvement for space efficiency, usage, and culture.
  • Ensure room information, furniture, and accessory attributes are accurate in CAFM/IWMS.
  • Prepare test fit plans and preliminary scope documentation for project budgeting.
  • Utilize furniture and auxiliary accessories in inventory and repurpose when feasible.
  • Maintain current knowledge of evolving space management trends, office space design, and space allocation best practices and translate changes in work environment design into dynamic spaces.
  • Respond to space requests within Service Now Portal.
  • Provide world class service to internal customers.
  • Oversee facility audits focusing on interior aesthetics and furniture utilization.
  • Complete additional responsibilities as assigned.
  • Apply sound judgment when making decisions.

  • Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 90% of a typical working day.
  • Ability to work seated for approximately 50% of a typical working day. Ability to work standing for approximately 50% of a typical working day.

  • Maintain regular and reliable attendance.

  • Ability and means to travel 10% between local Exact Sciences locations.
  • Ability to travel 15% of working time away from work location, may include overnight/weekend and international travel.

Minimum Qualifications

  • Bachelor's degree in Interior, Architectural, or Industrial Design; Associates Degree in Interior, Architectural, or Industrial Design and 5 years of relevant experience as outlined in the essential duties in lieu of Bachelor's degree; or High School Diploma/General Education Degree and 7 years of relevant experience as outlined in the essential duties in lieu of Bachelor's Degree.
  • 10+ years of experience in a corporate real estate or facilities environment.
  • Working knowledge of state-of-the-a work management tools CAFM/IWMS, CMMS, AutoCAD, etc.
  • Basic understanding of furniture panel systems and office furniture.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Authorization to work in the United States without sponsorship.
  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.

Preferred Qualifications

  • Experience in an FDA, CLIA, or CAP regulated industry preferred.

Salary Range:

$89,000.00 - $151,000.00

The annual base salary shown is for this position located in US - WI - Madison on a full-time basis. In addition, this position is bonus eligible.
