Position Overview:
The Office Coordinator supports the daily operations of the Components Plant by managing administrative, scheduling, and customer service functions. This role ensures accuracy in order processing, effective communication with customers and internal departments, and overall operational efficiency within the plant.

Key Responsibilities:

  • Reconcile customer purchase orders with 84 Components' selling prices, resolving any discrepancies prior to processing.
  • Enter and manage orders within the production schedule, ensuring alignment with available labor and shipping capacity.
  • Verify and confirm shipping dates at least three (3) days prior to delivery.
  • Prepare and distribute order confirmation sheets with accurate quantities, pricing, and delivery dates.
  • Obtain customer authorization for order changes before implementing any product modifications.
  • Review the daily schedule for completeness and accuracy; notify customers promptly of any delivery changes.
  • Track, follow up, and maintain records of customer quotes.
  • Secure required delivery permits for outgoing orders.
  • Maintain organized file systems, bins, and workspace to ensure efficiency and easy access to information.
  • Monitor build and hold orders and follow-up in a timely manner.
  • Provide sales support by supplying quote information and assisting with customer inquiries.
  • Invoice shipped orders and ensure appropriate billing for each customer.
  • Perform administrative tasks such as filing, phone coverage, mail distribution, and new hire processing.
  • Collaborate with Sales, Design, and Production teams to improve workflow and efficiency.
  • Perform additional duties as assigned to support the overall success of the plant.

Required Skills and Qualifications:

  • Strong attention to detail with excellent organizational skills.
  • Ability to follow established processes and maintain accuracy in documentation.
  • Excellent verbal and written communication skills.
  • Customer service experience, including interaction via phone and email.
  • Proficiency in Microsoft Office (Word, Excel) and internet-based applications.
  • Ability to read and comprehend policy and procedure manuals, reports, and technical documents.
  • Effective problem-solving skills and ability to manage multiple priorities in a fast-paced environment.
  • Capability to follow written, oral, or diagram instructions and resolve routine issues.
  • Comfortable speaking or presenting information in small group settings.

Responsibilities

Customer interaction via telephone and e-mail (schedule, quote follow up, service)

Computer input of quotes and orders while maximizing schedule

Invoicing of shipped order and appropriate billing of each customer

Administrative duties to assist in business operations (filing, phones, mailings, new hire processing)

Duties as assigned to create efficiencies within Sales, Design and Production groups.
