Description
Overview
Develop, guide, and manage schedules for the company's billable resource teams. Support billable teams by helping them to be successful in meeting project commitments and helping them achieve their potential for the company and the customer. Work with Services management to develop and implement billable resource policies and procedures. Oversee activities of the billable team to ensure operational excellence, professionalism, and high customer service.
Essential Duties and Responsibilities
Resource Management:
>Manage resource scheduling across multiple projects and teams; anticipate and plan for future demands of resources with capacity planning tools and resources
>Assist Services leadership with performance management, review, and other feedback opportunities; ensure that billable resources understand their role and how they will be measured in performance of their role/job
>Support billable resources in meeting their commitments including reviewing their plans and routinely tracking their progress
>Produce departmental metrics to support Services forecasting and plannings
>Develop and maintain short/ long term forecast, capacity plans, and ensure sufficient staff is available during peak periods
>Ensure that the scheduling function is providing optimal forecasting, scheduling, and identifying new methods, strategies, and opportunities
>Analyze historical trends by source, handle time, and root cause to identify operational opportunities and pro-actively communicate this information to leadership
>Review and analyze the monthly, quarterly, and yearly reports for both internal and external stakeholders and distribute as required
>Coordinate the on-boarding/mentoring of billable resources, needs assessment and training; accountable to be close enough to billable resources activity to evaluate performance
>Assist team members with training peers
>Promote a productive work environment; responsible to improve productivity of billable employees which includes optimizing utilization
>Recommend, organize, develop, and help implement resource-related process improvements
>The Resource Scheduler may also participate in Operations-wide projects and initiatives
Communication:
>Meet with Services leadership and team members to resolve issues, provide resourcing feedback and improvements
>Assist Services team with employee communications, as needed
>Maintain professional presence with Services team and all functional teams
Administration:
>Manage schedules, travel & expense time entry and skills profiles using Spok's Services automation tools
>Attend project planning, departmental and company meetings
Required Skills and Experience
>Bachelor's degree in Business Administration, Computer Science, Technology, Communications, or related field
>3-5 years of Resource Management experience
>Demonstrated effective organizational skills
>Advanced written and oral communication skills
>Excellent analytical and project management skills
>Willing to identify, own, and solve problems independently and as part of a virtual team
>Strives to become a self-directed, productive team member, serving as a positive agent of change
>Demonstrates strong energy, performing when schedules, deliverables, or customers require it
>Ability to identify key issues through accurate problem triage
>Proficient knowledge of Microsoft Office Suite including Excel, Visio, Project, PowerPoint, and Word
>Experience with Resource Management tools such as Kantata
