The Senior Registrar is responsible for the strategic, operational leadership and direction for all activities associated within the Registrar Services Department. This includes but is not limited to determination of acceptable proof of graduation, registration, establishment of the academic calendar, consultation on course schedules, degree audits, veterans' certifications, evaluation of transfer credit, documentation of proficiency credit, issuance of grades and transcripts, administration of Satisfactory Academic Progress, oversight of the development and monitoring of academic plans, supervision of the appeal process and publication of the catalog. This position provides leadership in the collaboration between the campuses, student success, admissions, financial aid and registrar to ensure excellent service to students. The Senior Registrar is a critical role in the leadership and support of the University strategy to embrace the lifelong learning of our students. This role will be hybrid with a required number of in-office days and remote work. Education and Experience Requirements:
- Bachelor's Degree from a regionally accredited university, Master's degree is preferred.
- Five years of registrar experience at a multi-level, multi-location educational institution.
- Ten or more years of professional experience in higher education is preferred.
- Significant experience in the use and functionality of student information systems, preferably with Anthology and/or Salesforce.
- Significant experience with efficient processing and reporting of student records; demonstrated experience working with diverse student populations and stakeholders across the University.
- Working knowledge of the Department of Education regulations and understanding of the interdependencies of student records and the awarding of title IV funds.

Compensation is determined based on the qualifications, experience, and circumstances of each hire. It is uncommon for new employees to start near the top of the salary range. - Oversees the Registrar Services department, providing vision, direction and supervision to staff to ensure efficient and effective operations in line with the University mission.
- Determines indicators of success for each strategy and monitors them for purposes of adjustment and continuous improvement.
- Develops and executes communication plans associated with strategy implementation.
- Ensures framework and structure in place for effective enrollment services, inclusive of student registration, course enrollment, scheduling, and academic records management.
- Researches, recommends and implements efficiencies such as technology solutions that advance Registrar Services strategies and ROI in line with the University mission.
Academic Policy and Procedure
- Develops, implements, and reviews registration policies and procedures to monitor, assess and ensure compliance with University and regulatory standards.
- Evaluates existing academic policies to identify and provide guidance for needed additions and modifications.
- Collaborates with the VP of Financial Aid and Compliance to determine potential impact of academic policy and procedure on administration of educational funding.
- Establishes requirements for Standard Operating Procedures and engages constituents in documenting SOPs.
- Establishes a regular cycle for communication and training of new and revised policies and procedures.
- Ensures academic policies and procedures are consistent with generally accepted standards and practices that support academic quality while meeting state, federal and regulatory requirements (e.g., acceptance and documentation of prior learning experience, admission of home-schooled applicants, evaluation of prior learning assessments, proof of high school graduation, proof of English language proficiency, ).
- Maintains policy and procedure to track academic progress and status (e.g., attendance, course adds/drops/withdrawals/repeats, grades, grade changes, GPAs, graduation, transfers, proficiency credits, etc.).
Policy Exceptions
- Serves as the University authority on policy exception in collaboration with the Chief Academic Officer.
- Collaborates with the VP of Financial Aid and Compliance on implications of policy exceptions.
- Renders decisions on policy exceptions in a timely manner.
- Provides guidance on the appropriate documentation of exceptions.
- Monitors policy exceptions and identifies risks associated with policy exceptions in order to inform the Executive Committee.
Academic Record Keeping
- Ensures the integrity, security, and confidentiality of student records, utilizing data analytics to support enrollment management and decision-making.
- Evaluates existing practices and determines opportunities for creating efficiencies and minimizing risk in relation to academic records
- Ensures the University maintains the integrity and completeness of academic records and files for all active and inactive students consistent with institutional, accreditation, federal, and state guidelines.
- Oversees and supports the completion of audits (both on campus and via CampusVue) to ensure processes and procedures (e.g., attendance/attendance dismissal, graduation requirements, enrollment and intra-system transfers, grade posting, re-entries/re-enrolls, etc.) result in accurate and compliant student records for all active, graduate and withdrawing students.
- Reviews academic reports for accuracy and timeliness and to determine areas of risk or concern and collaborates with IT to address opportunities for improvement.
- Conducts assessments of functionality of systems being utilized and opportunities to optimize features and functionality not being used.
- Evaluates record retention processes and implements continuous improvement in line with University needs.
- Collaborates with IT to identify student system enhancements to support the evolving needs of the University.
Student Record Reporting
- Serves as a resource for students, addressing inquiries and resolving issues related to registration, academic records, and graduation.
- Establishes framework of proactive review of student record reporting to ensure student satisfaction exists within Registrar Services offerings to students.
Academic Content for University Catalog
- Establishes a schedule for reviewing of University catalog and addenda
- Provides oversight to communication related to additions and changes to the catalog
- Collaborates with Academic Compliance to assure accuracy of University catalog content.
Academic Process, Policy and System Training
- Provides technical training and consulting on student systems and technical processes to Directors of Campus Operations and other University administrators.
- Collaborates with IT Department and Anthology Corporation to define, test, and implement Anthology enhancements that impact academic record keeping.
- Provides communication and training to campuses regarding new Anthology releases, system defects and workarounds.
- Consults with functional leadership and Directors of Campus Operations on system related projects.
- Collaborates with Academic Leaders to ensure the accurate communication of academic policies and procedures to Executive Leadership, Directors of Campus Operations and other administrators through the development and delivery of training materials.
Leads and Develops Others
- Manages resources and people processes (e.g., Performance Management, Career Development, Training, Staffing, etc.) to ensure optimal performance within the Registrar Services department.
- Identifies individual and team skill gaps and developmental opportunities (e.g., training, special assignments, conferences, projects, etc.) to facilitate individual and team development.
- Ensures that Registrar Services staff have documented career goals and detailed plans for achieving these goals to develop them personally and professionally.
- Conducts performance evaluations in a consistent, fair, and objective manner to facilitate open communication and encourage continuous performance improvement.
- Holds others accountable to established performance levels to achieve individual and group goals.
- Resolves individual and group performance issues in a timely manner to motivate and foster teamwork.
