The full salary range for this position is $29.35 to $42.06/hour.

Brief Summary of Job Duties:

The UCSB Robert Mehrabian College of Engineering is establishing a new online professional master's degree called the Master of Engineering in Technology and Leadership, which requires assistance in general administration and student recruitment and retention. The Professional Degree Program Coordinator will work on a collaborative team with faculty and administrative directors and student services staff to provide essential support to admissions and enrollment professional graduate degree program activities.

Qualifications:

Required Qualifications:

  • High school diploma or equivalent experience.
  • 1-3 years of experience in a customer service, administrative, or student services environment.
  • 1-3 years of experience working with diverse individuals and communities.
  • Thorough knowledge of administrative procedures and processes, including word processing, spreadsheet, and database applications.
  • Excellent verbal and written communication skills, active listening, and interpersonal skills.
  • Demonstrated ability to exercise good judgment, critical thinking, and attention to detail.
  • Strong time management skills with the ability to prioritize and multitask in a fast-paced environment.
  • Interpersonal and work leadership skills to collaborate with and provide guidance to other nonexempt personnel.
  • Commitment to fostering an inclusive and equitable environment when engaging with diverse students, staff, and faculty.

Preferred Qualifications:

  • Bachelor's degree in a related field and/or equivalent experience or training.
  • 1-3 years of administrative and/or clerical support experience.
  • Experience using Salesforce or similar CRM systems.

Job Functions and Percentages of Time:

35% Recruitment & Outreach Support

The Program Coordinator is responsible for maintaining and optimizing CRM systems such as Salesforce, Emma, Shoreline, Handshake, Zoom, and Google Sheets to support recruitment efforts. This includes managing prospect nurturing campaigns, drip emails, information sign-ups, and data analysis. The Coordinator serves as the primary liaison with the Salesforce account team and UCSB staff to ensure effective system use, troubleshooting, and continuous improvement. In addition, the Coordinator collects, organizes, and analyzes prospect and event data to provide staff with a comprehensive understanding of the recruitment pipeline and assists program staff in maintaining records of one-on-one recruitment meetings and outreach activities.

40% Admissions & Student Success

The Coordinator oversees the full application cycle in AppReview, monitoring both unsubmitted and submitted applications, ensuring completeness and compliance, and conducting outreach to applicants with missing materials. The role manages application queues, shadow tracking systems, international GPA conversions, and the application fee waiver process, and coordinates with the Graduate Division to ensure timely processing. The Coordinator is also responsible for distributing financial aid offers via DocuSign or other electronic platforms, maintaining financial award records, and supporting enrolled student financial aid functions in GradPoint. Using AppReview, Salesforce, and GradPoint, the Coordinator generates reports that inform program evaluation, enrollment management, and student success initiatives.

25% Program Operations & Administrative Support

The Coordinator provides general program support to ensure smooth operations. Duties include planning and executing online events, workshops, and information sessions; coordinating meetings and preparing reports and presentations; and distributing information and materials to affiliate faculty and staff. The Coordinator also conducts research on potential corporate partners to support program growth and visibility. Finally, the position provides general clerical and administrative support as needed, ensuring efficient operations across all aspects of the Professional Degree Program.
