Department Summary

The Institute for Health Disparities (IHD) conducts research, training and community
outreach in the areas of minority health, health disparities and workforce variety.
Constituting the IHD are the Texas Center for Health Disparities, National Research
Mentoring Network, Texas CEAL Consortium, Competency Training Programs, AIM-AHEAD and the NIMHD Endowment.

Position Overview

The Senior Administrative Coordinator will provide essential administrative support to a university project within the Institute for Health Disparities (IHD) engaged in managing a HRSA funded mental health and HIV care initiative. The position involves clerical duties focused on administrative related tasks such as document management, scheduling, and assisting with communication between the Principal Investigators (PIs), IHD finance staff, Office of Sponsored Programs (OSP) and external sub-awardee institutions. This is an excellent opportunity for someone interested in higher education administration and sponsored research.

Minimum Qualifications

Bachelor's degree and two (2) years of related experience; or any equivalent combination of education and experience.

  • Experience in providing administrative support by conducting research, preparing financial reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings, and recording detailed meeting minutes.


Preferred Qualifications

High school diploma or equivalent required; Bachelors degree or college coursework in
Public Health, Health Administration, or Business Administration preferred
The preferred candidate will possess the following additional qualifications: Experience with local and federal grants. Knowledge of grant management and research management procedures. Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint); experience with
document tracking or project management tools is a plus
Proficient in using Google Workspace tools, including Gmail, Drive, Docs, and Sheets, for
effective communication and collaboration
Excellent written and verbal communication skills
Strong organizational skills and attention to detail
Ability to maintain confidentiality and handle sensitive information professionally
Previous administrative or customer service experience
Comfortable working with community partners and multidisciplinary teams

Job Duties



  • Assist with the preparation, tracking, and filing of grant-related documents, including subaward agreements, reports, and email correspondence.
  • Schedule and coordinate meetings, webinars, and events involving the internal HRSA project team and external sub-awardee institutions.
  • Support the department with routine data entry, invoice tracking, and processing documentation for sub-awardees.
  • Draft and edit routine communications such as meeting notes, email updates, and reminders to faculty and external partners/
  • Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software.
  • Help coordinate internal routing of documents for approvals and signatures.
  • Provide additional support on special projects or compliance reviews as assigned.
  • Performs other duties as assigned.
