Warranty Administrator at Komatsu West - An Essential Role in Equipment Service Operations


As a Warranty Administrator within the Komatsu Equipment Company division of Komatsu, you will play a pivotal role in ensuring the accuracy and efficiency of warranty claim processing related to construction and mining equipment. This position, located in Elko, NV, is critical to maintaining compliance with company policies and industry standards by processing claims for reimbursement meticulously and maintaining comprehensive records of warranty repairs and factory campaigns.


Your work will directly support factory campaigns and assist regional management in the effective execution of warranty services, thereby enhancing customer satisfaction and operational efficiency. This position requires a detail-oriented and organized individual comfortable working across multiple systems to oversee claims from initial documentation through to reconciliation in the general ledger.

Key Job Responsibilities
  • Warranty Claim Processing: Efficiently open and close warranty work orders while compiling all necessary documentation to support each claim. Provide clear and comprehensive explanations of each claim to facilitate prompt and accurate processing.
  • Financial Tracking and Reconciliation: Manage the claims tracking system diligently, keeping an up-to-date record of outstanding and paid claims. Process credit memos and reconcile claims against the general ledger, ensuring integrity of financial records.
  • Factory Campaign Management: Monitor and track factory campaigns and 90-day revisit warranties, coordinating ongoing follow-up actions to maintain compliance and customer satisfaction.
  • Operational Support: Collaborate closely with managers and other team members to support smooth regional operations, responding to requests for assistance and helping resolve issues related to warranty and factory campaign logistics.
  • Documentation and Reporting: Maintain accurate and comprehensive records covering all warranty-related activities, generating reports as needed for managerial review and continuous process improvement.
  • Compliance and Quality Assurance: Ensure warranty procedures comply with company policies and legal regulations, fostering consistent quality standards across all activities.
Qualifications/Requirements
  • High School Diploma or GED required; an Associate Degree or at least five years of relevant experience is preferred, especially within construction or mining equipment sectors.
  • Technical Competencies: Proficient in using database, manufacturing software, Internet-based tools, and order processing systems relevant to warranty claim handling.
  • Communication Skills: Demonstrated ability to read, comprehend, write, and present information clearly and effectively through various communication modes including individual interactions and group settings.
  • Mathematical and Analytical Abilities: Capable of performing calculations involving percentages and ratios, and leveraging intuition and experience to analyze data accurately.
  • Problem Solving and Decision Making: Aptitude for identifying, evaluating, and resolving problems in a timely and efficient manner with a strong customer service orientation.
  • Team Collaboration: Able to balance individual responsibilities with team objectives, supporting a positive and productive work environment.
