Operations Coordinator

This position requires an active Public Trust or the ability to obtain one.

This position supports the Defense Health Agency, Armed Forces Health Surveillance Division (AFHSD). It requires superior operational support from a dynamic team of scientific professionals, including military, civilian, and contract personnel. Accordingly, a high degree of administrative expertise and responsiveness is required. Previous military/federal government experience is preferred, as this person must interact with senior-level service-specific (Navy, Army, and Air Force) public health leaders and Department of Defense (DoD) executives.

Compensation & Benefits:

Estimated Starting Salary Range for Operations Coordinator: $80,000 to $85,000.

Pay commensurate with experience.

Operations Coordinator Responsibilities Include:

  • Responsible for ensuring all required administrative support tasks are tracked and completed, including but not limited to:
  • Serving as the POC to facilitate recurring and ad hoc staff meetings, to include scheduling, confirmation of attendees, preparation of agendas, setting up meeting logistics (location/teleconference/web collaboration), and any other advanced preparation needs (collection/dissemination of read-a-heads, briefs, bios) , and finalizing meeting minutes and due-outs.
  • Assisting staff in organizing presentations, ad hoc reports, memos, etc., to include tracking status, routing, and ensuring proper logging, versioning control, and archiving.
  • Organize key points of contacts and critical engagement needs for senior leadership to streamline engagement and coordination efforts among team members and across leadership groups.
  • Manage and track ad-hoc leadership requests (e.g., identifying resources, points of contact, organizational information).
  • Coordinating and assisting with program level events, such as technical demonstrations, working sessions, and quarterly program reviews.
  • Establishing official administrative processes by developing standard operating procedures to enhance the productivity and effectiveness of day-to-day operations, to include implementing administrative workflows, and task tracking processes.
  • Assist with solutioning administrative challenges (e.g., populating shared team sites, establishing document access controls, and troubleshooting calendars/meeting invite issues).
  • Coordinating travel arrangements using the Defense Travel System (DTS), including routing and tracking approvals, preparing travel orders, scheduling transportation/hotels, and completing payment vouchers.
  • Scheduling visits, notifying organizations and officials to be visited, arranging for local transportation, and facilitating visitor request coordination.
  • Maintaining contractor and staff calendars.
  • Onboarding new employees, including arranging Common Access Card (CAC) appointments, requesting a government laptop and required software, and providing instruction for required training and timekeeping.
  • Performs other job-related duties as assigned

Operations Coordinator Experience, Education, Skills, Abilities requested:

  • Bachelor's Degree or Certified Administrative Professional
  • 4-7 years' experience in administrative management
  • Extensive organizational skills
  • Clear and effective writing, and verbal communication skills
  • Critical thinker, high-level of attention to detail
  • Must be able to self-manage
  • Ability to multitask in a fast-paced senior military environment
  • High level of professionalism (team player, respectful of others)
  • Microsoft Office Suite (OneDrive, Office 365)
  • Defense Travel System
  • Must pass pre-employment qualifications of Cherokee Federal
