The Business Services Coordinator for the Office of the Vice Chancellor for Student Affairs works closely with divisional leadership to achieve strategic goals, and reports to the divisional Chief of Staff. This position assists in the daily administrative operations and fiscal management processes for the Division of Student Affairs.
Responsibilities of the Business Services Coordinator include:
- Monitoring department budgets and spending to ensure fiscal compliance
- Compiling and distributing fiscal/administrative reports to keep divisional stakeholders abreast of the current landscape and needs
- Operating as primary support personnel for the Office of the Vice Chancellor for Student Affairs and secondary support advocate to divisional offices
- Maintaining current University administrative and financial training to support overall divisional compliance measures
- Tracking and managing divisional contracts, ensuring that financial terms and billing align with budget allocations and financial guidelines.
- Coordinating and processing payments for services, ensuring timely and accurate payments, and addressing any discrepancies or concerns with vendors.
- Collaborating with procurement and legal teams to review, update and maintain divisional records to ensure compliance with University policies and procedures.
- Assisting in assessment, presentations, negotiations and renewals as needed, providing fiscal insights to ensure optimal financial outcomes for the division.

The Division of Student Affairs is responsible for the oversight of non-academic (co-curricular) educational experiences offered to students. These experiences are provided though and by multiple departments that facilitate this learning. Led by the Office of the Vice Chancellor, the Division of Student Affairs is comprised of a team of professionals dedicated to supporting the growth and development of our students throughout their matriculation to actualize professional and personal success. |

The Business Services Coordinator shall demonstrate an understanding and awareness of University and divisional policies and procedures; the Business Services Coordinator shall have the ability to demonstrate and apply this knowledge in performance of daily office support tasks; and be ability to explain and interpret information to campus stakeholders with a high-level of customer service and care. The Business Services Coordinator must understand and interpret processes and procedures and be able to apply this knowledge when problem solving and responding to internal and external inquiries. The Business Services Coordinator shall monitor and reconcile departmental budgets with the ability to track expenditures. Serve as primary administrative and budget support for Office of the Vice Chancellor and secondary advocate for subordinate departments if needed. Process administrative paperwork as required to include but not limited to purchase orders, requests for payments, credit card transactions, budget revisions and interdepartmental transfers and contracts. Compile and distributes administrative and financial reports to keep divisional stakeholders abreast of operational landscape and needs. Gather, select and compile clerical and statistical data of spending as needed. Work closely with Chief of Staff and Vice Chancellor to achieve strategic goals.

The Business Services Coordinator shall work collaboratively within the Division of Student Affairs and other University stakeholders to achieve strategic goals. The Business Services Coordinator shall plan and facilitates the support activities of Student Affairs in alignment with articulated priorities. Coordinate with constituencies both on and off campus to complete tasks with the highest level of customer service. These actions may include but not be limited to initiating contact between campus departments to get payment transactions approved, following up with campus partners to assure payments are processed according to set timelines, contacting vendors to communicate deliverables, coordinating departmental fiscal requests with vendor products and services, assisting vendors with the University registration process, etc.

The Business Services Coordinator shall record, compile and distribute records and or data using recommended formats and University operating procedures. The Business Services Coordinator is responsible for compiling and organizing information from Banner, Labor Distributions, Web Focus Reports, SU Express, Bank of America Works etc. in effort to present financial data required to facilitate tuition and fee proposals, annual budget proposals, assessment plans and annual divisional reports, etc. as needed.
