The Office of the Vice Provost for Academic and Faculty Affairs (VPAFA) directly supports the university's ongoing growth in academic excellence and distinction through service of faculty, deans, and academic departments, and encourages the wellbeing of each individual in the academic community. The Office of the Vice Provost for Academic and Faculty Affairs develops and implements policies and procedures to support faculty and faculty leadership.

About the Opportunity

The Director of Faculty Policies and Procedures will work within the Office of the Provost, and closely with all academic units and schools of the University, as well as University Human Resources. The Director will establish and manage faculty leaves, faculty contract procedures, and issues surrounding faculty compensation, as well as handle the majority of faculty requests submitted through university systems (e.g., Workday and Laserfiche). The Director will also conduct trainings and develop procedural guidelines for all Faculty Affairs staff across campus. The position reports to the Senior Associate Vice Provost for Academic and Faculty Affairs.

Responsibilities

  • Provides annual training to academic units on the annual salary proposal process and periodic trainings on topical issues, often in collaboration with other USC units such as Human Resources Information Systems, Human Resources Leaves of Absence Unit, Faculty Staff Visa Services, Real Estate Asset Management, Talent Acquisition, Research Compliance, Institutional Compliance, Office of Budget and Planning, and Office of the General Counsel.
  • Participates on the VPAFA team that reviews the annual faculty salary proposals for all but one USC school.
  • Applies Faculty Handbook requirements for leaves, contracts, faculty titles, and compensation, and proposes changes to the Faculty Handbook based on experience with the application of the Faculty Handbook to leaves, contracts, job titles, retirement, and compensation.
  • Develops contract, leave, policy, and system guidelines. Recommends policy changes and provides advice on procedure amendments. Develops procedural manuals for use by Faculty Affairs staff and faculty leadership.
  • Prepares communications to schools, deans, and faculty on behalf of the Vice Provost on faculty policies and procedures.
  • Develops various templates for use across the university, such as offer letter templates, retirement and phased retirement templates, administrative appointment letter templates, request memo templates, etc.
  • Reviews retentions and salary appeals in coordination with the Senior Director of Data Analytics.
  • Represents the Office of the VPAFA on university committees relating to faculty contracts and faculty processes.
  • Recruits, hires, trains and supervises at least one student worker.
  • Advises schools on the preparation and issuance of faculty offer letters, retention letters, administrative appointment letters, visiting scholar and research agreements, etc.
  • Ensures maintenance of accurate files and records for all relevant documentation.
  • Serves as subject matter expert on faculty affairs policies, procedures, systems and technology (e.g., Laserfiche and Workday).
  • Supports an environment that fosters inclusive relationships and creates unbiased opportunities for contributions through ideas, words, and actions that uphold principles of the USC Code of Ethics

Qualifications:

  • Preferred Education: Masters Degree or JD
  • Preferred Experience: 9 years or combined education/experience as substitute for minimum experience
  • Preferred Field of Expertise: Leadership experience creating faculty policies and procedures for a higher education institution. Experience training, consulting, and advising employees in a faculty affairs environment. Comprehensive understanding of and ability to clearly communicate all aspects of faculty affairs. Organized, resourceful, and detail oriented. Excellent decision-making skills. Expert writing and interpersonal abilities. Experience with existing USC systems.
  • Minimum Education: Bachelor's degree
  • Minimum Experience: 7 years or combined education/experience as substitute for minimum experience
  • Minimum Field of Expertise: Familiarity with and understanding of faculty affairs in higher education and with university operations. Leadership experience supervising and providing guidance to employees in a faculty affairs environment. Experience in holding trainings and advising employees. Organized, resourceful, and detail oriented. Excellent decision-making skills. Expert writing and interpersonal abilities. Willingness to collaborate closely with team members and across various other units on campus.

The annual base salary range for this position is $110,925.00-129,464.00. When determining an offer, the University of Southern California considers factors such as the scope and responsibilities of the role, the candidate's experience, education, training, key skills, internal peer alignment, applicable laws, contractual requirements, grant funding, and market conditions.
