Job Summary

This position provides the necessary support for high school students to be successful in their course work and provides transition guidance to those who wish to continue at MCC after their dual credit or articulated credit classes. Support the administrative and clerical needs of MCC's dual enrollment and other secondary/concurrent programs., Primary duties consist of advising and providing support to students, parents, and high school and college counselors and employees regarding dual enrollment and career pathway opportunities, policies and procedures. Liaison with administration, Academic Affairs, and other college offices regarding the dual credit enrollment student and administrative experience.

The role of the Embedded Advisor is designed to assist in a smooth college transition, and better serve our high school partner districts. The advisor visits each of the six (6) area Mesa high to help students navigate the college admissions process and registration processes, explore early college opportunities, and provide support as in review and selection of academic program options. In addition, the role also serves as an ambassador and manages enrollment processes for college early, including: Dual Enrollment, which allows students to earn high school and college credits at the same time; Concurrent Enrollment, where high school students can take courses with college students, either in person, online, or in hybrid formats; Hoop of Learning, an early high school-to-college bridge program designed to empower American Indian students; and Achieving a College Education (ACE), a scholarship program supporting first-generation, underrepresented, financially disadvantaged college-bound students.

Essential Functions

30% Advising and Enrollment
  • Advise students, parents, faculty, and staff regarding dual enrollment and career pathways opportunities, policies, and procedures.
  • Advise cohorts for degree/certification completion and Field of Interest exploration.
  • Register all designated early college students, including those in special dual enrollment programs (early/middle college and senior-year-only initiatives, CTE Certificate Pathways, etc.).
  • Provide program planning and course selection through the interpretation of multiple placement methods, prerequisites and the Maricopa Academic Catalog.
  • Collaborated with Academic Advisement to create Field of Interest-specific course pathways for students and request class sections to be created.
  • Advise students regarding degree and graduation requirements, various certificate programs, transfer requirements, correspond with students to resolve problems related to student service functions.
  • Perform case management for early college and ACE and HOL students.
  • Case management includes tracking grades, class progress, providing guidance and mentoring to students to successfully complete courses and persist in the program.
  • Work directly with high schools, students, and families supporting day-to-day dual enrollment operations and performing related administrative tasks (using Banner, Canvas LMS, Starfish Early Alert system, Dynamic Forms, and other systems).
  • Track and monitor student academic progress and maintain accurate student outreach records and other interactions utilizing technology and system.
  • Engage and build relationships with students through scheduled advising appointments, drop-in advising hours, email communications, workshops, and presentations to maximize their experience at MCC.
  • Communicating regularly with students.
  • Conduct timely outreach to at-risk students and help them create action plans for improvement.
  • Communicate accurate and timely information and feedback to students.
  • Implement and continually develop best practices.

30% Admissions and Financial Support
  • Provide guidance and instructions for dual enrollment application completion; assess placement levels and/or schedule placement testing; proper dual credit course selection; course transcription; academic and instructor issues; secure course materials; and other related tasks.
  • Provide new dual enrollment student admissions advising. Verify students are placed in appropriate courses to earn high school credit as well as credits toward their college degree.
  • Assist with applying and monitoring scholarship funds to student accounts, review student eligibility for scholarship for ACE and HOL.
  • Create, manage, and implement multiple budgets for tuition/scholarship funds and program administration.
  • Assist with budget projections, end of year reports, and reconciliation.
  • Liaise with financial aid and student business services/cashiers to manage scholarship distribution and tracking.
  • Check student accounts when a debit/credit has been noted; reach out to the student to discuss changes to the student account.
  • Review student eligibility for Dual Enrolment Maricopa Grant.
  • Purchase supplies, books, food and transportation (charter buses) for both the ACE and Hoop of Learning Programs.

25% Presentation, Program and Event Coordination
  • Visit area high schools and relevant partner programs, as needed, to market the College's dual enrollment and early/middle college programs.
  • Plan and execute innovative career pathways and dual enrollment events and programs.
  • Represent Mesa Community College at high school visits, on- and off-campus events, as well as regional, state, and national training, meetings, and conferences.
  • This may include pre-enrollment and orientation advising, transfer advising, placement test administration, and other functions as assigned
  • Organize and facilitate presentations to district high schools in the tri-county service area. Meet with potential new collegiate academy and dual enrollment students, parents, and high school counselor(s), distribute dual enrollment information, and respond to questions.
  • Cultivate relationships and manage communication with various populations including dual enrollment students and families, high school faculty, guidance counselors and administrators at partner high schools, and faculty/staff at Mesa Community College.
  • Promote and facilitate sessions regarding all early college opportunities.
  • Facilitate/coordinate the delivery of seminars, workshops and other activities relevant to ensuring academic and student success of dual enrollment students.
  • Travel frequently to various campuses and high schools.
  • Represent the college at various recruitment activities, events, student services activities and retention-based programming, both on and off campus.
  • Inform students, parents and other stakeholders regarding various student services and academic/occupational/workforce development programs.
  • Liaise with high school Administrators and Counselors to provide information regarding guidelines, and student eligibility and to recruit students.

5% Leadership
  • Perform strategic planning to administer program management, evaluation, and problem resolution to meet deadlines and implement program functions and activities.
  • Develop, plan, implement, and coordinate student services processes including; academic advisement, admissions, data entry, registration, orientation, testing, mentoring, financial aid, campus tours, recruitment, and retention activities.
  • Design, develop, maintain and evaluate materials and communication mediums for program promotion, recruitment, resource information, presentations, and correspondence.

5% Data, Reporting, and Compliance
  • Track academic and program progress from intake through program completion.
  • Create and analyze program reviews, and organize and distribute information as necessary.
  • Adhere to FERPA regulations as they pertain to maintaining the security and confidentiality of all student records.
  • Enforce and/or explain federal, state, district, college and/or local policies including: Maricopa Student Rights and Responsibilities, Fiscal Purchasing and Travel regulations, Maricopa Grant guidelines, Maricopa Academic Catalog, Residency Laws and FERPA.
  • Administer Admissions and Registration functions including: Residency Laws, ID Verification, and maintaining FERPA.
  • Perform assigned duties in a manner consistent with the mission, goals, and core values of the College and other key partners of the Office of K-16 Partnerships (i.e., School District of Mesa; charter, private, and partner high schools, etc.).

5% Other
  • In collaboration with supervisor, train and onboard, coach and guide new Embedded Advisor and students within the ACE and HOL Program.
  • Serve on various executive boards, college and district committees (including locally, regionally, and nationally) as designated and participate in meetings and conferences.
  • Responsible for other reasonable related duties as assigned commensurate to the grade level of the position.


Minimum Qualifications

Bachelor's Degree from a regionally accredited institution and two (2) years of student services or college teaching experience, or experience coordinating, administering, planning, or evaluating programs.

OR

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.

Desired Qualifications

A - Master's Degree or higher from an accredited college or university
B - At least three (3) years experience in academic or career advising, admissions, student support services, case management, and/or registrar office in a higher education setting
C - At least two (2) years experience working with different cohorts of students and identifying and implementing student success strategies to support enrollment, persistence, retention, and completion
D - Demonstrated success in implementing student-centered advising strategies that improved retention and persistence rates
E - Knowledge of and at least two (2) experience with applicable laws, rules, and regulations related to higher education, including those related to student privacy and academic policies (e.g., admissions, residency determination, FERPA, etc.)
F - Experience with student information systems and other systems of higher education
G - Proficiency Experience working with MS Office Suite, Google Applications, and Zoom
H - Proficient in English and a second language. Bilingual (Spanish fluency)

Special Working Conditions

Work schedule varies during the year: August through mid-May: Monday - Friday, 8 hour days; mid-May through the end of July: Monday - Thursday, 10 hour days

May require working evening and weekend hours (example: Saturday coverage during peak weeks)

This position is fully on-site, with no remote options

May be required to travel or be assigned to another MCCD location
