Overview

NaphCare is hiring a Workforce Scheduling Coordinator to join team based out of our Corporate office in Birmingham, AL.

The Workforce Scheduling Coordinator works in partnership with comprehensive healthcare sites and the Workforce Management team to support effective usage of the electronic scheduling software. This position also supports the Workforce Compliance team by assisting with administrative duties.

Responsibilities

Reporting to the Chief of Personnel, as the Workforce Scheduling Coordinator, your key responsibilities include and may not be limited to:

    Assists with configuration, implementation and proactive daily management of the electronic workforce scheduling system
  • Develops and facilitates training for the electronic scheduling system; proactively follows up to ensure effective system usage. Develops, maintains, and distributes scheduling system training documents
  • Reviews site schedules weekly and alerts site leadership to scheduling errors, overstaffing, and opportunities to reduce overtime. Schedules one-on-one training sessions, as needed
  • Works scheduling mailbox for tasks including, but not limited to: access issues, password resets, home department changes, job type changes, travel access, permission level changes, general inquiries. Escalates to Workforce Compliance Manager, as necessary
  • Assigns Admin staff and manages permissions to the electronic software Learning Center
  • Builds relationships with site-leadership and serves as a strategic partner to maintain contractual hours requirements
  • Compiles and distributes reports, as needed
  • Enters tickets into HRIS to maintain accurate log of staffing budget assignments and contracted titles. Assists with staffing budget management, as requested
  • Manages, tracks, and reports on progress
  • Makes recommendations to Manager to improve efficiency and processes
  • Works on special projects, as assigned


Qualifications

  • 1+ year experience working in scheduling, staffing, and/or training; bachelor's degree preferred
  • Strong analytical skillset with advanced problem-solving skills
  • Proficiency using MS Office, with emphasis on Excel
  • Proven technical proficiency, including proficiency navigating web-based electronic data systems, HRIS, and online video conferencing software
  • Ability to interpret and ensure compliance with policies and procedures
  • Proven organization skills; Ability to effectively work multiple projects simultaneously
  • Strong interpersonal and relationship building skills
  • Excellent written and verbal communication skills, with effective training ability
  • Must have the ability to maintain confidentiality of all proprietary and/or confidential information and integrity, professionalism and ability to adhere to a Code of Conduct and comply with all corporate policies, procedures, and legal requirements

Working Conditions:

  • Long periods of sitting at a desk performing light physical work and working at a dual-screen computer terminal
  • Light physical work involving lifting and carrying
  • Talking and listening to communicate ideas or requirements to individual staff members
  • Visual acuity to listen attentively and accurately
