The Department of Public Management and Policy in the Andrew Young School of Policy Studies (AYSPS) is seeking an Administrative Specialist Administrative, to provide advanced support to the department on its administrative functions.

The position will be responsible for, but is not limited to, the following duties:

  • General administrative and academic duties for the department, including interfacing with students, faculty, GRAs, instructors, and visitors.

  • Manages the main PMAP phone line, main PMAP email, PMAP website, PMAP social media, and advertising.

  • Also maintains PMAP records, files, databases, postage, mailings, interoffice mail deliveries, and correspondence.

  • Position requires strong computer and organizational skills.

  • Maintains and processes routine financial transactions and reports.

  • Position requires basic knowledge of budgets and university procedures.

  • Position enters reimbursements and encumbrances in Panthermart for employees, vendors, or any other party seeking payment from the department.

  • Maintains departmental files for all payments, reimbursements, and travel requisitions.

  • Provides administrative support in scheduling meetings and managing itineraries and catering for PMAP events.

  • Provides administrative support to the Department Chair in making appointments, scheduling meetings, and taking faculty meeting minutes.

  • May coordinate and manage logistics for faculty search committees, such as airfare, hotel, interview scheduling, and presentations.

  • Maintains a department Pcard and is responsible for making routine Pcard purchases and maintaining inventory of office supplies.

  • Responsible for the operation and maintenance of office equipment and the department's common areas.

  • Serves as the department award and scholarship coordinator and manages the department's annual scholarship awards as well as the Honors day awards program.

  • May supervise student assistants, work study students, as well as temporary office employees whenever available.

  • Perform other administrative duties as assigned or as necessary.

Qualifications :

Minimum Requirements:

* Bachelor's degree and two years of related experience, or a high school diploma or GED and six years of related experience, or a combination of education and related experience.

Preferred Hiring Requirements:

* Experience in a university setting.

* Experience working in a team-oriented, collaborative environment.

* Excellent communication, problem-solving and analytical skills.
