GENERAL SUMMARY: Responsible for planning, organizing, coordinating and implementing the day-to-day activities of the Registration team. Completes registration auditing while training employees; assists with the revision of area policies/procedures, and participates in process improvement initiatives. Primary responsibilities also include mentoring employees, overseeing quality assurance activities, maintaining staff schedules and assisting with orienting new employees. Performs patient registrar functions as needed and verifies all work is completed in accordance with departmental and Medical Center policies and procedures. PRINCIPAL JOB FUNCTIONS: 1. *Commits to the mission, vision, beliefs and consistently demonstrates our core values. 2. *Serves as work resource and liaison to registration staff; responds to staff requests for assistance; assesses and resolves each situation as appropriate; seeks assistance from Assistant Manager and/or Manager as needed. 3. *Delegates and directs workload/periodic assignments and monitors employee's progress to ensure timely completion; ensures effective employee use of time and other resources. 4. Manages the sick line, determines need for calling in "on call" staff, and communicates with others on-site as needed in collaboration with the Assistant Manager. 5. Prepares employee schedules and approves time off requests in collaboration with the Assistant Manager and/or Manager. 6. *Anticipates and recognizes improvement opportunities and responds appropriately. 7. *Assists with auditing of registration functions within assigned area; ensures patient logs are completed and accurate; retains and communicates statistical performance data to Manager and Assistant Managers. 8. Encourages, redirects, corrects and documents employee performance as appropriate. 9. Assists Patient Access Educator with orientation and training of new employees; trains peers and/or volunteers on specific duties utilizing area specific checklists and training manual; assists Patient Access Educator in reviewing and updating the training and reference manuals in accordance with new regulations. 10. Responsible for scheduling and customer service issues; escalates to the Assistant Manager or Manager as appropriate. 11. Collaborates with management to plan and communicate changes to the work group. 12. *Assesses employee competencies and level of performance; cross trains employees into specialized areas and documents training. 13. Understands and adheres to federal regulations regarding Advanced Healthcare Directives, COBRA, Medicare, Corporate Compliance, Joint Commission, OSHA and HIPAA; reports safety and customer concerns. 14. *Receives and processes reservations from physicians and/or representatives for all services; secures required patient information, including applicable physicians, medical necessity/diagnosis, insurance,pre-certification/referral information and third party payer requirements; coordinates the scheduling of tests and/or bed assignments in various departments as needed. 15. Performs patient registration functions according to medical center policies and procedures. 16. *Prepares and provides patients with an estimate, if one is warranted, for their expected services. Collects and/or counsels on expected payment due. 17. Collects payments; writes receipts and acts as cashier after hours, including balancing petty cash per department specific procedure; secures/releases patient valuables (money, credit cards jewelry, etc.), writes receipt and maintains logs/audits according to area procedures. Orders supplies and forms; contacts vendors as needed to ensure proper equipment functioning/maintenance. 18. Follows Medical Center protocols in communicating and releasing patient information. 19. Maintains professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest trends in field of expertise. 20. Participates in meetings, committees and department projects as assigned. 21. Performs other related projects and duties as assigned. (Essential Job functions are marked with an asterisk "*". Attach Addendum for positions with slightly different roles or work-specific differences as needed. EDUCATION AND EXPERIENCE: High school diploma or equivalency required. Minimum of two (2) years experience in patient access, training or office work preferred. Associate's degree or equivalent progress towards a degree in business (or related field) preferred. Prior hospital or medical-related experience preferred. Must be 19 years of age to witness legal consents. | |
