Description and Requirements

Lenovo is looking for a Strategic Operations & EA member to join our team

Key Responsibilities:

Calendar, Meeting & Travel Management (50%)

  • Responsible for the calendar management of CTO. Arrange internal/external meetings and handle meeting requests in a timely manner. Coordinate meeting conflicts and communicate meeting updates with CTO and key stakeholders.

  • Conduct weekly calendar review with CTO & Ops team. Ensure key events, travels, and deadlines are listed on CTO's calendar.

  • Coordinate agenda proposal and material preparation timeline for CTO meetings. Ensure sufficient preparation and efficiency of all CTO meetings.

  • Ensure end-to-end meeting management, including documenting minutes, capturing key action items, and preparing post-meeting summaries.

  • Support CTO annual BMS planning to optimize time management and meeting efficiency for CTO and team.

  • Arrange CTO travels (domestic & international) with a thorough understanding of Lenovo policies.

  • Process travel expense reports on behalf of CTO. Be familiar with Lenovo's travel booking & reimbursement tools (Concur, Amex, Pcard...)

Strategic Operations (20%)

  • Directly work with Chief of Staff to support annual STAMP planning and KPI setting at CTO level.

  • Assist in annual STAMP planning and drive efficient communication and collaboration among CTO sub-orgs.

  • Responsible for preparing quarterly KPI review dashboard from CTO level. Coordinate with sub-orgs to collect inputs.

  • Management of CTO's travel & expense budget, including travel, team activities, etc.

Communications & Events (20%)

  • Support to plan, coordinate, and execute CTO level meetings and events, including CTO staff meeting, townhall meeting, M5 Forum, leadership roundtable, etc.

  • Responsible for internal and external communications emails, including org announcements, newsletters, etc.

  • Support external requests for material inputs, including JJ message, CSO newsletter, etc.

Other Work for CTO (10%)

  • Review/approve expense reports on behalf of executive

  • Generate and format presentations for CTO meetings as needed

  • Ensure CTO is on track to meet commitments

  • Maintains confidentiality of all sensitive or proprietary information

  • Opportunity to assist CTO key projects from administration/operations perspective

Basic Qualifications:
  • Bachelor's degree in Business Administration, Management, Communications, etc
  • 2+ years of experience
