JOB TITLE: Legal Secretary DEPARTMENT: Secretarial Services REPORTS TO: AdministrativeOffice Manager FLSA CLASSIFICATION: Non-Exempt LOCATION: This position is available inthe following office location - San Francisco, CA JOB SUMMARY The Legal Secretary is responsiblefor providing high quality and administrative and clerical support to a team ofattorneys. ESSENTIAL DUTIES AND RESPONSIBILITIES* * Prepare shells, format, and proofread legaldocuments, pleadings, correspondence and memoranda * Prepare new case reports, submits conflictchecks, open new files, and prepare engagement letters * Create tables of contents and tables ofauthorities (TOC and TOA) * Prepare government documentation or closingmaterials, as appropriate for practice of team attorneys * Daily time entry, as directed by individual teammembers * Prepare client billing, including review andedit of proformas directed by billing attorney, preparation of cover letters,copying/scanning and mailing/emailing finalized bills to client and AccountingDepartment * Organize, scan, copy, fax and/or file legaldocuments in both paper files and in document management system, as appropriate * Organize and maintain electronic files ondocument management system * Schedule depositions, hearings, and meetings,organize court reporters, conference rooms, catering and coordinating schedulesas appropriate for practice of team attorneys * Facilitate the meeting of deadlines by keepingmultiple agendas/calendars and providing timely reminders * Answer telephone calls, take notes/messages andredirect calls as appropriate * Coordinate travel arrangements for attorneys * Process expense reimbursements and vendorinvoices, including check requests * Maintain client lists, contact lists and otherelectronic databases * Perform such other duties that may be assigned MINIMUM QUALIFICATIONS Knowledge/Skills/Abilities: * Required proficiency in general State andFederal court filing experience a must, including e-Filing * Knowledge of and proficiency in current officetechnology, including but not limited to, the MS Office Suite (Outlook, Word,Excel, PowerPoint) * Attention to detail and accuracy * Ability to type at least 60 wpm with a highdegree of accuracy * Ability to work in a team environment with both attorneys and other colleagues * Ability to effectively communicate both verballyand in writing * Detail oriented with ability to handle multipleprojects simultaneously and meet deadlines * Ability to work in a fast-paced environment * Flexibility in daily schedule to meet Firm'sneeds during periods of heavy workload or special projects; availability towork scheduled overtime, as needed Education: * Minimum high school diploma or equivalent;college degree a plus but not required. Experience: * Minimum of 5 years of legal secretarialexperience in a relevant practice area, with at least 2 years of experiencesupporting a billing attorney. The annualized good faithbase salary range for this position in the following location: * San Francisco, CA:is a minimum of $73,333 to a maximum of $110,000 per year. The actual salary rateoffered to candidates within that range will depend on a variety of factors,including without limitation, years of relevant experience, education,applicable certifications, and other relevant professional licenses held, andthe candidate's overall qualifications for the position as assessed by theFirm.
