Job Description
Make an Impact Behind the Scenes of Surgical Excellence Join our dynamic Surgery Administration team and provide high-level executive and administrative support to the Chairman and department physicians. As the Assistant to the Chairman, you'll be the hub of coordination-balancing schedules, managing communications, and ensuring operational efficiency across a fast-paced, high-performing department. This role is ideal for a proactive professional who thrives on organization, discretion, and collaboration. You'll work closely with executive leaders, physicians, and university partners to keep everything running smoothly-from meetings and reports to credentialing and onboarding. Key Responsibilities
  • Serve as the primary point of contact for the Chairman and department physicians.
  • Manage complex calendars, communications, travel arrangements, and expense reports.
  • Coordinate and prepare meetings, presentations, and annual department reports.
  • Support budgeting, billing, purchasing, and reconciliation of department expenses.
  • Partner with leadership on physician recruitment and onboarding logistics.
  • Maintain credentialing, licensing, and evaluation records for faculty and physicians.
  • Create and maintain reports, data analyses, schedules, and department documentation.
  • Provide general administrative, IT, and project support to department leadership.
Minimum Requirements:
  • Education: Associate's Degree in a related field (Health Sciences, Business, Public Administration, or Education) OR an equivalent combination of education and experience.
  • Experience:
    • Minimum of 3 years progressively responsible administrative support experience, including administration of an education program.
    • 3 years as an executive assistant or in an advanced secretarial role.
  • Technical Skills: Advanced proficiency in MS Word, PowerPoint, Excel, Outlook, Zoom, and WebEx.
  • Communication: Excellent written and verbal communication, professional presence, and a customer service orientation.
  • Judgment & Confidentiality: Ability to handle sensitive information with discretion, prioritize urgent matters, and manage complex workloads under tight deadlines.
  • Collaboration: Team-oriented approach with strong critical thinking and problem-solving skills.
  • Healthcare Experience: Experience working directly with physicians, residents, and medical students.
Preferred Qualifications:
  • Education: Bachelor's Degree in a related field (Health Sciences, Business, Public Administration, or Education) or equivalent experience.
  • Experience:
    • 5 years of progressively responsible administrative support experience, including administration of an education program.
    • 5 years as an executive assistant or in an advanced secretarial capacity.
