Administrative Assistant - Cancer Center

Aiken Regional Medical Centers, located in Aiken, South Carolina, is a 273-bed acute care facility providing top quality and safe healthcare to the residents of Aiken and surrounding communities since 1917. Additionally, Aiken Regional provides comprehensive healthcare services such as behavioral health (Aurora Pavilion Behavioral Health), emergency medical care (main hospital and ER at Sweetwater), orthopedic surgeries, maternity, rehabilitation services(Hitchcock Rehabilitation Services), imaging, and wound care.

Administrative Assistant at the Cancer Center is responsible for assisting the Director with the daily tasks necessary to ensure that all patient and doctors' needs are met using disciplined operations to meet hospital and regulatory guidelines.

Job Duties:

  • Manage the agendas for all of the center's physicians.
  • Answering telephone and forwarding calls and/or taking messages.
  • Scheduling patient appointments, CT's, bone scans, mammograms, etc.
  • Taking patient referrals and request records and films for appropriate physicians.
  • Entering physicians procedures into electronic database and printing daily encounter forms.
  • Preparing the daily schedule to ensure smooth and efficient operations.
  • Registering patients for radiation therapy and other procedures on POETS.
  • Creating and preparing patient charts.
  • Maintaining a log of newly diagnosed patients.
  • Sorting and distributing mail daily.
  • Receiving payments from and preparing receipts for patients.
  • Faxing weekly timesheets and PTO requests to Payroll Department.
  • Retrieving reports for physicians upon request.
  • Sending and receiving faxes and making copies for physicians and others when requested.
  • Ordering and picking up films.
  • Maintain hospital manuals.
  • Setting up weekly luncheons with drug representatives and other vendors.
  • Orders office supplies.
  • Enter daily charges.
  • Taking care of special requests for physicians, nurses and Director.
  • Announcing patients to appropriate physicians upon arrival.
  • Managing the patient waiting area.
  • Follows up with patients regarding missed appointments.
  • Coordinates tumor conferences when Tumor Registrar is unavailable.
  • Other duties as assigned

Qualifications

Job Requirements:

Education: High School Diploma or GED

Experience: Previous medical office experience preferred. Proficient in Microsoft Office programs (Excel, Word, PowerPoint). Must have good clerical, analytical, and communication skills.
