BID/JOB ANNOUNCEMENT Inquiry Aide III Office of Public Safety Administration (OPSA) Medical Services Section Number of Positions: 1 (Additional vacancies possible pending budget approval) Starting Salary: $45,984 Annually This position is open to the public and all current City employees covered under the City's collective bargaining agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) - BARGAINING UNIT 1, 3, 4 & 5. Select your correct bargaining unit FAILURE TO FOLLOW THESE INSTRUCTIONS WILL RESULT IN A REJECTED BID APPLICATION Applications for this position will be accepted until 11:59pm CDT on 12/01/2025 Under general supervision, responds to inquiries from employees and the general public regarding City services and departmental programs, and performs related duties as required ESSENTIAL DUTIES * Screens incoming calls, prioritizes inquiries, and coordinates appointment scheduling to ensure efficient operations and patient flow * Manages the preparation and maintenance of medical records for daily operations in the Medical Services Section, including assembling intake documentation, retrieving and filing medical charts, creating new records, and ensuring accurate organization within the filing system * Provides information on various departmental programs and services and answers a high volume of calls * Receives and responds to inquiries, questions and complaints via phone and in person in a timely and courteous manner * Inputs and updates a customer service system or other computerized databases to track the status of inquiries and complaints received * Assesses the nature of inquiries and complaints and forwards or refers callers to the appropriate party for further investigation * Follows up on complaints, inquiries, and concerns to ensure they were resolved in a timely manner * Performs office support functions (e.g., receiving, stamping and distributing incoming and outgoing mail, scanning and photocopying documents) to support department operations * Notifies staff of visitors arrival and directs visitors to the appropriate personnel, as required Additional duties may be required for this position Location: OPSA Medical Services Section, 1338 S. Clinton & 3510 S. Michigan Avenue Days: Monday - Friday Hours: 7:00AM - 3:00PM THIS POSITION IS IN THE CAREER SERVICE Qualifications
MINIMUM QUALIFICATIONS Two (2) years of work experience in customer service Should the above criteria not be fulfilled, the following options are acceptable: * Graduation from an accredited college or university with an Associate's degree or higher, plus one (1) year of work experience in customer service NOTE: Candidates must pass a background investigation, drug screen, and other pre-employment procedures as determined by the Office of Public Safety Administration.
