Job Announcement

This position works within the Division of Children, Youth and Families (CYF) to support the Foster Care and Adoption (FC&A) Resource and Support Program. Under the general direction of the supervisor, provides general administrative support to supervisors and social services specialists to include the following:

  • Assisting with managing client records.
  • Enters data accurately and timely and prepares reports.
  • Handles client-related phone calls and letters, including interacting with angry or upset clients.
  • Provides general administrative support to unit staff including managing supplies, vehicles, and mail.
  • Supports hiring efforts and assists with meetings.
  • Works on special projects to assist supervisors and units.
  • Assists on training other administrative assistants, as needed.
  • Works collaboratively with other administrative staff in the Children, Youth, and Families Division and helps in other programs as needed.
  • Demonstrates flexibility in handling multiple and changing tasks.
  • Prioritizes tasks to adapt to changing priorities.
  • Develops and maintains organizational systems for themselves and the unit they support.
  • Performs special projects including research, reports, and correspondence.

Specifically, this administrative assistant position will support the program's Fostering Future team. This team supports older youth and young adults in foster care. Given the specialized focus of the team, this position has specialized tasks such as the completion of credit checks and freezes for those in foster care, support with Independent Living workshops and programming, and coordinating activities with community donors.

Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).

CERTIFICATES AND LICENSES REQUIRED:
None.

NECESSARY SPECIAL REQUIREMENTS:
The appointee to the position will be required to complete a criminal background check, and a Child Protective Services Registry check to the satisfaction of the employer.

This position is considered essential personnel and will be required to report to work during times designated countywide as approved for unscheduled leave regardless of the emergency situation (i.e., weather, transportation, other disaster).

PREFERRED QUALIFICATIONS:

  • Three years of frontline administrative and customer service experience supporting staff in a human services environment
  • Experience with Microsoft applications, specifically Word, PowerPoint, Excel, and Teams.
  • Demonstrated strong writing and grammar skills
  • One or more years of experience in Program and project management, Training and technical assistance, Research and collection of statistical data reports
  • Experience managing enterprise systems, such as OASIS, Documentum, and electronic management systems


PHYSICAL REQUIREMENTS:
Duties are generally sedentary. Ability to communicate clearly and concisely, both orally and in writing. Ability to use automated technology. Sufficiently mobile to deliver mail, messages, and records. Sufficiently mobile to travel outside the office for meetings, to set up rooms and organize materials for meetings and trainings. All duties are performed with or without reasonable accommodation.
