Location: This position will be on-site full-time in Newburyport, MA. The position holder will need to be within commuting distance (within 45 min).

Executive Assistant Summary:

The Executive Assistant provides executive and administrative assistance to the President / CEO, Board of Directors, and the executive team. Working in a fast-paced environment and handling sensitive, non-public information, this position requires a highly skilled, self-motivated individual able to maintain confidentiality and discretion.

Executive Assistant Essential Duties and Responsibilities:

  • Assists the President/CEO by coordinating and managing calendar, correspondence, formatting and proofreading Board reports and strategic plans, occasional Dictaphone transcription, completing prompt and accurate filing, screening phone calls, arranging travel itineraries, completing expense reports, arranging logistics and catering for luncheons and meetings, maintains corporate records, always maintain high degree of confidentiality.
  • Communicates with Directors, coordinates Board and Committee meetings, arranges travel itineraries, maintains Nasdaq Boardvantage web portal.
  • Participates in Finance/Investor relations by providing pro forma drafts of SEC forms (10-Q, 10-K, Proxy), responding to investor requests for information and literature, corresponding with UFPT stock transfer agent, coordinating publication of press releases, occasional correspondence/tasks as requested.
  • Maintains corporate records for Secretary, assists with annual shareholder meeting, drafts meeting minutes, maintains standard form agreements and IP listing for General Counsel.
  • Assists other executives with correspondence, Excel, PowerPoint, calendar maintenance, expense reports, travel arrangements, as needed and as own schedule permits.
  • Handles confidential and non-public information.
  • Performs all other duties as assigned or needed.

Executive Assistant Requirements:

  • Associate's degree or equivalent.
  • Minimum of 10 years in a similar position.
  • Possess a high degree of proficiency with MS Office products including Word, Excel, Power Point and Outlook.
  • Familiarity with Nasdaq Boardvantage or similar software.
  • Excellent spelling and grammar skills.
  • Strong interpersonal and telephone skills.
  • Capability to handle multiple, diverse projects simultaneously.
  • Ability to interface well with all departments within the company and to represent the President / CEO in a highly professional manner.
  • Demonstrate the ability to communicate effectively and professionally with customers and external contacts to the organization.
  • Must be able to maintain the highest level of confidentiality. Ability to handle sensitive material concerning the organization and the President / CEO's role within the organization. Position continually requires demonstrated poise, tact, and diplomacy.
  • Flexibility and willingness to be a team player.
  • Demonstrated ability to handle multiple tasks simultaneously.
  • Exceptional organizational skills required.
  • Ability to meet designated deadlines.
