Job Summary
Under general supervision, provide support to faculty, staff, and students in the managing and processing of purchasing, travel and entertainment (T&E), accounts payable, accounts receivable and equipment inventory in the Metro cluster. Provide important day-to-day administrative support including purchasing, T&E, accounts receivable and payable, mail, shipping, key control, department contact for facilities, audio/visual needs, copy machine, and ordering office supplies. Responsible for accounts payable including, reconciliation of orders, packing slips, invoices, and travel and entertainment reimbursements. Responsible for billing and collections for services offered in departments affiliated with the Metro cluster. - High school diploma or equivalent experience
- Experience providing administrative and customer service support in a busy academic/office environment including interpersonal, customer service and communication skills to communicate and interact in a clear and professional manner with individuals from diverse backgrounds and perspectives including faculty, staff, students, scholars and general public
- Knowledge and experience with processing travel arrangements, monitoring travel activity and reporting expenses; and with purchasing equipment, office and laboratory supplies.
- Knowledge and experience of policies and procedures to read, interpret and apply administrative, business, financial policies and procedures to functions and activities related to purchasing, accounts payable/receivable, travel, entertainment and equipment inventory.
- Computer skills using PC to utilize various software programs such as word- processing, spreadsheets, and accounting and database management programs.
- Writing, editing and proofreading skills to prepare business correspondence, forms reports, and tables with attention to detail and accurate use of spelling and grammar.
Preferred Qualifications
- Experience with sources of acquisition and principles for use of laboratory supplies and equipment including maintaining accurate records.
- Knowledge and experience working with CAMS, UC Davis Financial Information Systems (FIS) and Decision Support.
- Knowledge of department organization, equipment inventory procedures and policies, and condition of department common research and teaching equipment and computers.
- Skills to organize work effectively to achieve timely progress on multiple simultaneous projects, distribute effort appropriately among the projects, meet deadlines and maintain a high level of productivity.
- Interpersonal and communication skills to clearly and effectively interact with a diverse range of individuals and perspectives to research and secure information to resolve problems and recommend alternatives.
- Organizational skills to work independently, set priorities, and meet deadlines; and maintain a high level of productivity.
