JOB SUMMARY:
In collaboration with the clerkship director, the clerkship coordinator plays a major role in the day-to-day administration of the clerkship, acting internships, or electives. As a member of the Office of Curricular Affairs the coordinator serves as an important bridge between the medical school and the clinical departments at SLUSOM, and our affiliated sites.
PRIMARY JOB RESPONSIBILITIES:
Administration: Support and coordinate all aspects of the assigned 3rd year clerkship, and all clerkship-related activities, at the Saint Louis University School of Medicine. Maintain the clerkship Canvas site inputting the clerkship evaluation components that contribute to the final grade (NBME, OSCE, Quizzes, H&Ps, etc) into the OASIS Course GradeBook site. Input evaluation reports, translating them into the individual grade components, and calculating the grades for each student according to the clerkship's grading system. Assign evaluators to students as appropriate through your OASIS Course Evaluation site for 3rd and (4th year - if needed) students. Manage exams/OSCEs/fOSCES, in collaboration with the OCA, and plan to attend all NBME exams held in the Education Union. Proctor make-up or retake exams that need to be scheduled because of an absence or academic issue. Communication: Communicate with the OSA and OCA on any issues related to professionalism, such as absenteeism, behavior, or tardiness. Alert the Clerkship Director or appropriate course director of any student concerns, or unprofessional behavior, and as appropriate the Office of Student Affairs. The coordinator may be the first point of contact if a student experiences a personal or family related problem that will interrupt their studies, or a student reports a mistreatment issue. Provide availability to meet with students, as needed, during the clerkship. Respond promptly to student inquiries and concerns. Inform students of details and expectations, responsibilities, and resources of the clerkship, and be the contact person for any clerkship/department-specific questions that may arise while students are on the clerkship. Keep announcements current (through email and Canvas), so that students remain informed, and know where to go to find important information. Additional Duties: Support and serve as primary coordinator for all aspects of the 4th year electives, Acting Internships, and all clerkship-related activities associated with your department. Assist Clerkship directors in assembling letters of recommendation for 4th-year students applying to residency programs. Proofread and upload letters to ERAS as necessary. Schedule individual student meetings with the Chair. Support students interested in your department's specialty for GME training. Recruitment of new community preceptors to maintain enough doctors to give a 1:1 experience to medical students per rotation. That includes but is not limited to cold calls, office visits, and preceptor orientation. Coordinate student onboarding for the community preceptors. Performs other duties as assigned.
