Office Assistant
Location: Maumee/Perrysburg, OH
Job Summary
Fishbeck is seeking a full-time Office Assistant to work in our Toledo area offices. The schedule will include two days in our Perrysburg office and three days in our Maumee office while also supporting our Cleveland office. This staff member will support our daily office operations by welcoming guests, providing operational support to a variety of professionals, and ensuring facilities are prepared for staff and visitors. Occasional travel to Cleveland, OH may be required.
In addition to daily administrative coordination, this position will play a key role in planning and facilitating Office Engagement activities for the Maumee and Perrysburg offices to foster a positive and connected workplace culture. The Office Assistant will also serve as a liaison among Corporate Services teams-including Facilities, IT, and HR-to ensure smooth communication and coordination of office needs. This individual will further assist the Event Specialist with corporate-sponsored events and initiatives.
This staff member will interact with a diverse group of clients, visitors, and internal professionals. Independent judgment is required to plan, prioritize, and organize workload.
Primary Functions
* Greet and assist visitors at the front desk of our Toledo Area offices (Maumee and Perrysburg), Monday through Friday, 8:00 a.m. to 5:00 p.m.
* Provide polite and professional communication via phone, email, and mail.
* Support staff with scheduling meeting arrangements, including lunch/catering plans.
* Aid staff members by scanning and assembling documents for records.
* Aid in assembling documents for printing/distribution.
* Organize conference rooms, resource rooms, and kitchenettes by ensuring supplies are accurately stocked and organized, and maintenance requests are fulfilled promptly.
* Plan and execute local Office Engagement activities and celebrations in coordination with Corporate Services and HR.
* Serve as the local liaison among Corporate Services departments to ensure timely communication and completion of office-related needs.
* Assist the Event Specialist with planning, preparation, and logistics for company-sponsored events.
* Infrequent travel to Fishbeck's other Michigan offices may be required.
* Complete various tasks and projects as assigned by Department Director and Team Leader.
Desired Education/Licensure
Experience in a related field

* Have at least one year of office experience, preferably in an engineering or similar professional services environment.
* Proficient in Microsoft Outlook, Excel, Adobe Acrobat, and Word.
* Highly organized, dependable, and detail oriented.

* Clear and polite communicator with a client satisfaction mentality.
* Ability to multi-task, problem-solve, and work with changes in business priorities.
