The Opportunity:

The primary function of the Graduate Student Services Coordinator is to assist the Student Services Manager in the execution of the market-rate graduate business student experience for the College of Business Office of Graduate Programs at UCF Downtown. Programs include Executive MBA, Professional MBA, Professional MSM Human Resources and the Professional MS in Real Estate. This is a front-facing position requiring evening and weekend hours and extensive interaction with students and faculty. This role is required to provide office coverage and the Student Experience when students are 'in house.

Responsibilities:



  • Assist with implementing activities, services and event schedule/calendar associated with market-rate graduate business program student and faculty experience.

  • Monitor student services email account, gradbizteam@ucf.edu, in collaboration with the Student Services Manager and ensure timely response to inquiries and issues.

  • Assist with keeping up-to-date student information including data collected with various surveys, event registrations and reports.

  • Register current and new students for courses each term. Communicate with students regarding student account holds that prevent student from being registered. This task close collaboration to ensure all new students start their program with the goal of preventing attrition related to student account holds.

  • Serve as the secondary point of contact for non-academic student-related issues and assist the Student Services Manager in troubleshooting and triage those issues.

  • Maintain up-to-date content and student information on the GradBiz Knightline, the student experience/community platform. This task includes working in collaboration with the Student Services Manager to ensure content is accurate and relevant. Monitor and respond to 'chats' directed at the student services team in a timely manner.

  • Provide support for faculty and the faculty experience in coordination with the Student Services Manager including logistical support for faculty's course and classroom needs including distribution of course/instructional materials and case studies, ancillary technology, and software course requirements.

  • Assist with executing Office of Graduate Programs student and alumni related events (networking events, graduation celebrations and annual holiday party) including event logistics, catering, invitations, guest lists, hosting, etc. Provide event support for college-related events relevant to market rate students, i.e., College Tailgate and Hall of Fame.

  • Assist with ordering and implementing Executive MBA program catering and refreshments according to the EMBA catering plan. This includes providing breakfast, lunch, and snacks for EMBA students and working EMBA Fridays and Saturdays.

  • Support the Student Services Manager and Office of Graduate Program team with the planning and execution of program orientation events including serving as orientation day host with and contact - taking students from admitted to enrolled students.

  • Assist with coordinating the graduate mentoring program including participating in mentoring training events, collecting mentee applications, fielding questions from students, and participation in mentoring program specific networking events.

  • Assist Student Services Manager with the commencement process when needed including regalia coordination, assisting with logistics of class photos and student headshots, preparing student graduation gifts and day-of commencement photos if necessary.

  • Other duties as assigned.


Minimum Qualifications:

Bachelor's and 2+ years of relevant experience or Masters degree and 0+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • Demonstrated commitment to providing exceptional service to students, faculty, alumni, and guests.

  • Experience responding promptly and professionally to student inquiries via shared inboxes or ticketing systems.

  • Strong written and verbal communication skills for drafting student communications, event invitations, and website updates.

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaborative tools such as Teams or SharePoint.

  • Demonstrated experience coordinating academic or student events such as orientations, commencements, or networking receptions.

  • Ability to balance multiple projects and meet deadlines in a fast-paced, student-centered environment.

  • Experience maintaining and updating content on student engagement or learning platforms (e.g., Knightline, Canvas, CampusGroups, or similar).

  • Ability to create and manage online forms, surveys, or dashboards to support student engagement and program reporting.

  • Proven success working collaboratively in cross-functional academic or administrative teams.

  • Willingness to support team events and activities, including occasional evening and weekend commitments (e.g., Executive MBA weekends, alumni events, and college celebrations).

  • Proven ability to manage logistics including catering, room reservations, guest lists, and vendor coordination.

The anticipated salary range for this position is $36,841- $45,130. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.
