Position Summary

The primary responsibility of the Receptionist is to kindly greet and route visitors while answering and directing incoming calls.

LOCATION:

Requires daily onsite attendance; this is not a remote-work position.


Duties And Responsibilities

ESSENTIAL:

  • Welcomes visitors by greeting them, in person or on the telephone; screening, answering and referring inquiries.
  • Maintains security by following procedures; monitoring logbook; issuing visitor badges. Is responsible for maintenance and troubleshooting of the visitor badge system.
  • Directs visitors in person or on the telephone by employee and department directories, providing clear and precise directions.
  • Transfers calls to voice mail when appropriate personnel are unavailable and takes and delivers messages via email, if needed.
  • Maintains a safe, clean, and organized reception area and complies with procedures, rules, and regulations.
  • Maintains continuity among work team by documenting and communicating actions, irregularities, and continuing needs to provide continues coverage.
  • Responsible for updating and keeping the front desk guidebook.
  • Update and manage Office Space software.
  • Create and place nametags as needed.
  • Receive, process and delivers incoming/outgoing USPS Mail and courier packages.
  • On-site Liaison with Facilities and Landlord for service tickets and maintenance requests.
  • Provide other administrative and operation support to the Facilities Department, and to other departments as requested.
  • FM Helpdesk management - monitor, coordinate and respond to job requests.
  • Coordinate with third party suppliers/contractors, including attending quarterly suppliers review meetings, monitoring performance against Key Performance Indicators (KPIs) and Service level Agreements (SLAs).

NON-ESSENTIAL:

  • Project work as required.

Qualifications

REQUIRED:

  • High School diploma, or equivalent combination of education and experience.
  • Minimum six (6) months of front desk and switchboard experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Visio, PowerPoint).

DESIRED:

  • Working knowledge of Cisco Phone Switchboard (Akkadian).
  • Experience with Oracle Systems (PeopleSoft).

KNOWLEDGE, SKILLS, ABILITIES, AND OTHER CHARACTERISTICS:

  • Excellent oral and written communication skills.
  • Ability to work in a fast paced environment.
  • Excellent telephone skills with a thorough knowledge of telephone etiquette.
  • Professional appearance and demeanor.
  • Ability to be engaging and welcoming to visitors.
  • Ability to learn new technical programs.
