Position Description

Performs responsible and complex duties associated with a specialized function of a section of clerical employees. Duties may be generally described as planning, assigning, coordinating, directing, scheduling, evaluating, verifying, training, and processing of information. Thorough knowledge of policies, procedures, and methods for the area of responsibility is required. Initiative and independent judgments are frequently exercised in formulating procedures or methods, and in program coordination. Work is performed under general supervision within University policies and procedures. Job performance is based on overall operational effectiveness.

Major/Essential Functions


  • Assist with mail, email, and faxes concerning client information and scheduling efficiently and accurately. Assist with business office file keeping as requested. Process student forms and scan to client files.
  • Make certain the clinic is open and/or closed for business everyday: Secure office equipment, lock/unlocked doors, office equipment is turned off/on for services. Maintain a clean and organized desk and waiting room area.
  • Ensure all incoming phone calls receive a prompt and courteous response with minimal placement of the callers on hold. Ensure all messages are complete and triaged appropriately.
  • Greet and assist clients with a friendly, professional and welcoming attitude. Accurately update information for clients in a timely manner. Schedule and Check-In clients. Assist clients in obtaining accurate business office information, including consent for treatment, crisis evaluation, and others as policy requires.
  • Set up telehealth/self-help clients and assist any technical issues before appointment. Email "How To" instructions to clients. Ensure that a client's counselor is updated in a timely matter if client's schedule changes and or needs to be rescheduled.
  • Direct clients to MindSpa Relaxation and Biofeedback rooms and give instructions on how to use the equipment. Ensure the MindSpa and Biofeedback rooms are clean, and supplies are stocked as needed.
  • Maintain confidentiality of student and staff information in compliance with our clinic policies and state laws.
  • Keep track of supplies needed for office and order via TechBuy as needed. Check in supplies once received and stock shelves/cabinets accordingly. Route invoices accordingly.
  • Scan paperwork into client's files such as Release of Information forms for clients.
  • Maintain healthy relationships with the Student Counseling Center staff.
  • Promptly and accurately respond to internal and external requests.
  • Process the Release of information forms for clients.
  • Support Group check-ins and guide students to correct group meetings.
  • Other duties as assigned by SCC administrative staff.

Required Qualifications

A minimum of a high school diploma or the equivalent. Three years progressively responsible clerical experience. Additional education and/or related experience to equal three years may substitute on a year for year basis.
