Job Description

What is the opportunity?

As an Executive Office Assistant, you will serve as the first point of contact for visitors and employees, ensuring a welcoming and professional front office experience, while also providing high-level administrative support to the Executive Suite and senior leaders. This dual-role position is essential for maintaining efficient office operations, managing executive schedules, handling confidential information, and coordinating internal and external communications.

What will you do?

  • Maintain Outlook calendars and manage the coordination and logistics of both internal and external meetings
  • Organize and execute events for the Executive Committee and support onsite meetings with external partners
  • Arrange and coordinate domestic and international travel agendas, including accommodations and itineraries
  • Process expense reports and assist with pre-approval workflows, ensuring adherence to company policy and guidelines
  • Support technology requests, supply orders and general administrative queries
  • Create and edit spreadsheets and presentations for internal and external meetings, including printing, copying, collating, and binding
  • Manage visitor logistics, including greeting guests, coordinating check-in procedures, and preparing meeting spaces
  • Collaborate closely with other team members to provide seamless support and serve as backup as needed

What do you need to succeed?

Must-have

  • Prior administrative support experience in a business office environment
  • Attention to detail and critical thinking skills
  • Strong computer skills (including Microsoft Office)
  • Strong interpersonal skills: able to work effectively with others in a professional manner
  • Advanced written and verbal communication skills
  • Excellent organizational skills with the ability to coordinate multiple projects at the same time
  • Ability to work effectively under pressure and meet prescribed deadlines
  • Self-starter who works independently with minimal supervision
  • Able to handle confidential matters with discretion and good judgment

The expected salary range for this particular position is $45,000-$75,000, depending on your experience, skills, and registration status, market conditions and business needs.

You have the potential to earn more through RBC's discretionary variable compensation program which gives you an opportunity to increase your total compensation, provided the business meets its performance targets and you meet your individual goals.
