THE POSITION

The Department of State is searching for a Clerical Assistant 2 to join their team!

As a Clerical Assistant 2, you will provide clerical and office support within the Bureau of Corporations and Charitable Organizations ensuring efficient operations and effective work product.

DESCRIPTION OF WORK

The Clerical Assistant 2 in this role:

  • Reviews the Professional Fundraising Counselors and Professional Solicitors filings to ensure adherence to registration requirements.
  • Examines fundraising contracts and extensions, solicitation notices, bonds, and solicitation contracts to ensure compliance with applicable statutes.
  • Reviews and processes initial, renewal, and amendment of routine business filings for consistency, completeness, and accuracy related to pertinent policies and procedures, PA Laws, Acts, and Titles.
  • Interprets various laws and regulations and approves or reject applications or return the applications for correction.
  • Reviews applications for errors, identifies errors, and corrects the errors based on procedures.
  • Prepares correspondence to customers to notify the application of the error and the appropriate resolution.
  • Verifies name conflicts against existing registered entities
  • Reconciles and processes payments accurately according to statutory filing fees.
  • Validates information and collaborates with other State and Federal organizations related to business filings.
  • Responds to inquiries via telephone and in-person from applicants, the general public, Legislature, stakeholders, and other agencies. Works with the customer to resolve issues.

Work Schedule and Additional Information:
  • Full-time employment
  • Work hours are 8:30 AM to 5:00 PM, Monday - Friday, with a 1-hour lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time. Additional details may be provided during the interview.
  • Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting salary of $36,108 annually (before taxes)

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.

Additional Requirements:
  • You must be able to perform essential job functions.
