The Executive Administrative Assistant will ensure the delivery of exceptional customer service by putting all customers (internal and external) first and supporting the company's mission, vision statements. Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, onboarding new colleagues, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.
Responsibilities
Anticipates and prepares materials needed by the Leadership Team for conferences, correspondence, appointments, meetings, telephone calls, etc.
- Reads publications, regulations, and directives and acts or refers those that are important to Leadership Team
- Makes notes on commitments made by Leadership team during meetings and arranges for implementation or staff follow up
- Prepares special or one-time reports, summaries or replies to inquiries, selecting relevant information from a variety of sources
- Reads and routes incoming mail
- Locates and attaches appropriate file to correspondence to be answered by Leadership Team
- Composes letters and memoranda from verbal direction, dictation, or from knowledge of company policies and procedures using a PC software package
- Assists in some administrative details, usually of a confidential nature
- Composes and types of routine correspondence
- Files correspondence and other records
- Answers telephone and give information to callers or routes call to appropriate person and places outgoing calls
- Schedules appointments for Leadership Team
- Greets visitors, ensures sign in, ascertains nature of business, and conducts visitors to employer November 19, 2025 or appropriate person
- Makes copies of correspondence or other printed matter
- Order and stock supplies for Department floors
- Arrange travel schedule and reservations, manage expense reports
- May compile and type statistical reports
- May coach and instruct the work of assistants or support staff
- Collaborates with leaders and hiring managers for the department regarding onboarding documents for new hires and contractors including:
- I-9 documentation
- Badge and parking
- Journyx
- Udemy
- Maintain Department org charts and seating map
- Act as Department facilities liaison
- Additional duties required as needed based on specific departmental needs
Qualifications
- Education Level: High School Diploma or GED
- Certified Administrative Professional (CAP) or professional certification in office management or executive assistant training preferred Experience in lieu of required education is acceptable
- Customarily four to six years of demonstrated experience (preferably in healthcare setting as an executive assistant or senior level administrative assistant)
