Administrative Assistant III - Center for Strategic Information Management

M-F - 8a-4:30p - Hybrid

PRIMARY FUNCTION:

Provide dedicated high level administrative support and the administrative coordination for the Center for Strategic Information Management (CSIM) team, projects and initiatives. The role will enable those functioning within the CSIM to use appropriate processes and procedures, and maintain an up-to-date view of the progress and interactions between the individuals, projects and programs as directed by the Director, Clinical Data and Analytics or designee.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Provides administrative support to the Director, Clinical Data and Analytics and the CSIM team, including but not limited to, meeting and travel scheduling. Is familiar with CSIM team activities and projects.

Handles new employee processes, including but not limited to: office nameplates, announcements, introduction meetings, new employee orientation, Department Specific Orientation Checklist and Position Specific Orientation Checklist.

Tracks, maintains and orders departmental office supplies.

Reports and coordinates equipment and building maintenance issues with responsible parties.

Provides high-level calendar administration.

Creates and maintains on-call calendar

Maintains Avatier AD Groups and Distribution Lists

Administration and reporting in Harvest and Monday.com (time and status)

Maintains Master Data Clean up

Maintains CSIM Website, SharePoint and collaboration sites (set up and maintain project documentation repositories).

Supports high level and high visibility meetings, including but not limited to, agenda development, minutes and presentation preparation and provides administrative support for activities, including: project rollouts, education, educational events, meetings, etc.

Supports the CSIM leadership in the development, communication and maintenance of clearpolicies, standards and procedures for all aspects of CSIM activities.

Collects and analyzes project information and produce meaningful management reports.

Performs assigned work safely, adhering to established departmental safety rules and practices;reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.

Performs other related duties as required.

EDUCATION AND EXPERIENCE REQUIREMENTS:

High school education plus a minimum of 3 years of administrative assistant job experience or completion of a business college program in Office Administration or related field.

An equivalent combination of education and experience may be substituted.

KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:

Knowledge of Microsoft Office software packages including, Word, Access, Excel, Visio, Outlook and PowerPoint. SharePoint knowledge preferred.

Knowledge of operation of office equipment and machines.

Knowledge of CCHS and departmental policy and procedure.

Ability to maintain confidential and sensitive information and materials.

Ability to display good interpersonal skills at all levels of contact and in a wide variety of situations.

Ability to effectively communicate, both verbal and written, at all levels.

Ability to assume responsibility, work flexible hours on a limited basis, work on site and travel

to other CCHS locations on a regular basis.

Ability to identify key priorities and take ownership of situations as appropriate.

Ability to manage time and workload.

Ability to actively encourage and create an environment that promotes openness, honesty and teamwork through regular effective communication.

PHYSICAL DEMANDS:

Normal office requirements. Travel to other CCHS locations

Hourly Pay Range: $23.85 - $35.78 This pay rate/range represents ChristianaCare's good faith and reasonable estimate of compensation at the time of posting. The actual salary within this range offered to a successful candidate will depend on individual factors including without limitation skills, relevant experience, and qualifications as they relate to specific job requirements.
