Leidos is seeking an exceptional and motivated Administrative Assistant to work alongside world class engineers and researchers supporting the mission of the U.S. Department of Energy's (DOE) National Energy Technology Laboratory (NETL) in Pittsburgh, PA. This work will involve providing administrative support for a multi-disciplinary, scientific, and technically oriented national laboratory team, that produces technological solutions for America's energy challenges.

Primary Responsibilities:

  • Provide broad-based Administrative Support for processing paperwork related to the on-boarding and off-boarding of employees and subcontractors for the RSS Contract under the U.S. Department of Energy/National Energy Technology Laboratory (DOE/NETL). This will encompass the Pittsburgh, PA NETL site.
  • Tracking, and maintaining government-owned assets, from initial acquisition through final disposal of Government Furnished Property. Key duties include ensuring compliance with federal regulations, managing property lifecycles (acquisition, use, maintenance, and disposal), conducting audits and inventories, and preventing loss or misallocation of resources. (FAR knowledge beneficial)
  • Procurement Requisition support for the research staff, which includes, but not limited to acquiring vendor quotes, request creation and final purchase requisitions submittal.
  • Backup to purchasing department using a P-Card and credit card reconciliation.
  • Shipping and receiving function - checking in packages to confirm packing slips for the purchasing department and tagging any equipment for property.
  • Prepare and edit forms in Adobe.
  • Ability to learn and work with many different programs and databases
  • Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
  • Perform document management on completed deliverables.
  • Monthly reporting, including gathering, organizing, and proofreading input from a variety of sources.
  • Other general administrative duties, as business needs require.

Requirements:

  • Associate degree with 5+ years of applicable experience. Bachelor's degree preferred.
  • Proficient in Microsoft applications such as Teams, Word, Excel, Outlook, Power Point (create and edit), Adobe, and Sharepoint.
  • Strong coordination skills while balancing multiple assignments
  • Capable of prioritizing tasks while maintaining time management
  • Outstanding organizational skills and attention to detail
  • Ability to compose correspondence
  • Ability to work independently and within a collaborative team environment
  • Ability to prepare presentations and to present information
  • U.S. Citizen
  • Must be able to meet the requirements for gaining access to work on the NETL campus.
  • FAR knowledge preferred
