Job Summary

As a Senior Human Resources Administrative Specialist, you will play a crucial role in supporting the Maricopa Community College District Office HR department with various administrative tasks. You will be responsible for assisting with day-to-day HR operations and ensuring the smooth functioning of HR processes.

The Senior Human Resources Administrative Specialist opportunity will assist the Human Resources division by coordinating HR programs, departmental projects, and activities. As the Maricopa Community College District Office HR is a multi-functional team, and this position will involve liaising with other administrators and external organizations regarding departmental services and activities.

This position offers an excellent opportunity for growth and development in the field of human resources.

Essential Functions

50% - Schedule, coordinate, administer, and support programs and events for the Associate Chief Human Resources Officer (ACHRO), who oversees the functions of Classification and Compensation, and Benefits. Activities include, but are not limited to, meetings, events, and other office services and projects.

30% - Perform administrative duties for the ACHRO including assisting with budget preparation, monitoring, and reconciliation processes; contract research and development; purchasing goods and services; taking and distributing meeting minutes; maintaining files; documenting Division processes and procedures; coordinating travel arrangements and processing expense reports; participate with administrators and other staff in planning division activities; provide research support on special projects; maintain confidentiality on sensitive matters.

15% - Support various programs within the District Office Human Resources Division

5% - Other job-related duties as assigned

Minimum Qualifications

Associate's Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support and/or administrative coordination activities.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications
  • Two (2) or more years of experience with coordinating, monitoring, administering, and supporting employee development-related programs
  • Experience using a Human Resources Management System (HRMS) system such as PeopleSoft and HCM
  • Experience developing and maintaining databases
  • Experience working with multiple stakeholders across a large and diverse organization
  • Experience taking direction from and providing support to multiple team members and colleagues
  • Excellent writing skills
  • Experience in taking and organizing meeting minutes, agendas, and coordinating future work among team members


Special Working Conditions

May be required to lift or carry up to 25lbs.

May be required to sit for a prolonged period of time, viewing a computer monitor.

Positions in this class typically require: talking, hearing, seeing and repetitive motions.
