Job Purpose:

The Recruiting Coordinator is the primary administrator and logistical lead for the Talent Acquisition function, ensuring smooth, accurate, and timely execution of all operational components of the hiring process. This includes owning the candidate experience logistics, managing job postings, coordinating background checks and drug screens, administering offer letters, and handling initial onboarding communications. This role may also manage a limited volume of low-complexity, high-volume requisitions that require minimal passive sourcing.

Essential Duties and Responsibilities:

Honor Commitments:

  • Offer & Onboarding Administration: Own the creation, distribution, and tracking of all offer letters and associated new hire paperwork, ensuring accuracy and timely completion.
  • Compliance & Check Coordination: Manage the end-to-end process for pre-employment requirements, including scheduling, tracking, and communicating results for background checks and drug testing.

Create Positive Experiences:

  • Candidate Logistics Coordination: Coordinate all candidate interviews (phone, virtual, and in-person) with speed and accuracy, serving as the professional logistical point of contact for candidates and hiring managers.
  • First-Day Communication: Coordinate initial communication to new hires regarding their first day, ensuring a smooth handoff to the HR team for formal onboarding.

Foster Life-long Learning:

  • Job Posting & Maintenance: Manage the accuracy, compliance, and distribution of all job postings across the Applicant Tracking System (ATS), job boards, and career pages.
  • Recruitment Event Logistics: Coordinate and manage the logistics for recruiting events, career fairs, and school visits (e.g., registration, materials, travel arrangements for recruiters).

Exhibit a Pioneering Spirit:

  • ATS Data Integrity: Serve as the functional expert for data entry and integrity within the ATS, assisting the TA Manager with routine reporting and system clean-up to ensure accurate metrics.
  • Low-Level Requisition Management (Admin Focus): Manage a limited, low-complexity load of high-volume requisitions (e.g., seasonal roles, general labor) where the focus is on administrative processing and compliance rather than strategic sourcing.

Demonstrate Good Stewardship:

  • Administrative Efficiency: Maintain and organize all recruitment files and documentation, ensuring compliance and efficiency. Manage supply inventory for the TA team (e.g., career fair materials).

Other Duties as Assigned:

  • Adapt to the evolving needs of the organization and undertake additional responsibilities as required, reflecting our commitment to flexibility and responsiveness in meeting business objectives.

Minimum Qualifications:

  • Education: High school diploma or equivalent required.
  • Minimum of 1 year of administrative support experience, preferably within a human resources or recruiting function.
  • Hands-on experience with an ATS (like Paylocity, UKG, Workday, etc.) to manage candidate data, update statuses, and post jobs.
  • Requires sound judgment, confidentiality, diplomacy, and service-minded support for employees/managers.
  • Ability to accurately enter data into ATS platform.
