Job Summary

Under general supervision of the Payroll Supervisor 1, provide essential general
administrative support to the Payroll unit team members. Serve as front-line contact for
the Central Payroll Office, answer main phone line, respond to high volume group email inbox
messages, screen and route callers and in-person visitors to payroll specialists and
managers. Position is also responsible for union deductions/updates and payroll new loan
payments. Processes new deductions and makes updates to UCDHS gifting as well as other
general voluntary deductions processed through UCPath. Responsible for processing
UCDHS and campus stale dated payroll checks (pre-conversion to UCPath) and the
reconciliation of these transactions within the general ledger, expedite weekly cash
collections deposits. Assists with entering one-time deductions and refunds for ARC
memberships and parking fees for both campus and UCDHS as needed. Provides customer
service assistance to employees with AYSO password resets, complies with all subpoenas
served, and support daily business functions by initiating purchasing requests while
maintaining inventory of all office supplies. Processes verification of employment requests
and other various pre-UCPath employment verifications. Incumbent also supervises student
employees providing training, direction and oversight of their daily workload. Serve as the
primary point person for Central Payroll office's day-to-day general operational necessities
and administrative activities.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • High School Diploma or equivalent.
  • Experience providing front line customer service within a high volume, fast paced administrative office environment focused on exceptional customer service.
  • Experience utilizing a Human Resource Information System (HRIS) and enterprise financial information system.
  • Experience operating a personal computer, spreadsheet creation and maintenance, databases and navigation software (i.e.; MS Word, Excel, PowerPoint, Outlook, etc.) as well as general office equipment including a multi-line telephone, 10-key calculator, copiers, fax machine and maintaining office supply inventory.
  • Interpersonal skills to interact and communicate effectively and professionally with administration, staff, visitors, and volunteers, using tact, diplomacy, and good judgment during all interactions in the performance of a wide variety of programs and support functions including the ability to defuse situations with irate callers and/ or in-person visitors.
  • Writing, editing and proofreading skills to quickly and accurately produce correspondence and other written materials and review documents for errors, irregularities, or omissions.
  • Skills to analyze complex information or problems in an objective manner and derive logical conclusions to provide a sound basis for establishing priorities, selecting appropriate courses of action for pursuit or recommendations to others.

Preferred Qualifications

  • Experience to create and maintain accurate spreadsheets as well ability to use technical (e.g., accounting) terminology properly.
  • Experience working in a fast paced, deadline driven environment under often heavy workload conditions, with conflicting priorities, and difficult callers or visitors.
  • Ability to work independently, as well as cooperatively and effectively within a team environment; working to meet deadlines with constant interruptions in a dynamic environment subject to changing priorities.

Work Environment
