TITLE

Business Operations Manager Admissions & Recruitment

JOB SUMMARY

Provides high-level professional support for budget and finances in the Undergraduate and Graduate departments of Admissions and Recruitment. Responsibilities include logistical management in the coordination of recruitment efforts for undergraduate, graduate, and transfer students. Primary duties encompass management of department budgets, financial and statistical reporting, completion of surveys, maintenance of inventory, and operational program expenses. Performs technical administration work involving the coordination of day-to-day operations, including the exercise of independent judgment. A thorough knowledge of the policies and procedures of the employing unit, as well as familiarity with overall University policy, is necessary to conduct the assigned work. Work is performed under general supervision, and performance is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.

ORGANIZATIONAL RELATIONSHIPS

Reports to: Executive Undergraduate Director of Admissions & Recruitment, and Graduate Director of Admissions and Recruitment,

Supervises: May supervise Student Assistants

ESSENTIAL DUTIES - May include, but not limited to the following:

  • Manages the daily financial activities of the Undergraduate and Graduate Admissions & Recruitment departments including budget preparation, control, and review.
  • Develops and implements systems and processes to establish and maintain financial

records for the department.

  • Prepares in conjunction with department leadership and the head of the Enrollment Division finance: budget requests, operating budgets and formal budget revisions as required.
  • Interprets and aligns demographic and analytical data with recruitment strategies.
  • Analyzes and applies historical data to enrollment strategic initiatives.
  • Utilizes data to identify high, medium, and low priority high schools for university visits based on which schools yield the highest enrollment for certain programs in undergraduate and graduate programs.
  • Creates data informed visuals to assist admissions counselors during recruitment visits.
  • Organizes information for communications to targeted populations.
  • Works with student ambassadors to target schools for their programs.
  • Purchases, maintains, and tracks inventory for the departments.
  • Facilitates the registration and payment of recruitment fairs and professional development conferences for the departments.
  • Maintains local, state, and federal professional departmental memberships for the departments.
  • Assists with event logistics, ensuring availability of materials and staffing.
  • Assists in revising and updating admissions counselor training practices and guides as needed.
  • Advises departmental personnel of current State of Texas policies and procedures prior to travel.
  • Advises and communicates to departmental personnel of current TWU procurement procedures, State of Texas policies and procedures, and related procurement matters.
  • Assists in the development and implementation of department goals, objectives, strategies, and systems of the functional areas.
  • Assists in the development and interpretation of policy and procedure for business related functions.
  • Maintains confidential records and central personnel files for the department.
  • Performs specialized functions or work of a difficult and demanding nature.

ADDITIONAL DUTIES

  • Performs other duties as requested.

EDUCATION

Bachelor's degree in related field: education, business, information technology. Master's degree preferred.

EXPERIENCE

Five years of related experience in higher education, business operations, information technology or related field.

REQUIREMENT

Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position. This is not a remote position.

  • Working knowledge of office practices and methods.
  • Knowledge of advanced applications for higher education data management systems.
  • Ability to understand, analyze, and report on operating and accounting practices.
  • Knowledge and skills in use of logistical planning.
  • Knowledge of data collection and research and reporting methods, techniques, and procedures.
  • Ability to coordinate work with other employees, providing direct instruction or supervision as assigned.
  • Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies and activities.
  • Ability to establish and maintain effective work relationships with students, faculty, staff, and the public.
  • Ability to read, interpret, apply, and explain rules, regulations, policies and procedures.
  • Ability to represent the departments and the University in a friendly, courteous, and professional manner.
  • Ability to communicate effectively orally in person, by phone, and in writing.
  • Ability to use a personal computer and other office equipment, including related university software and email.

WORK ENVIRONMENT
