What We Do Seeking an Administrative Assistant who will provide essential support to ensure the smooth operation of office functions. This role involves managing communications, organizing schedules, maintaining records, and assisting with various administrative tasks across departments. This role will have limited travel and be based in our Scottsdale, AZ branch.

Key Responsibilities:

  • Manage and distribute internal communications, including memos, emails, and reports

  • Organize and schedule meetings and appointments

  • Compile and keep monthly reports organized for future inquiries

  • Research vendors and negotiate deals for meetings and events

  • Support onboarding and training logistics for new hires

  • Request checks and submit invoices for the operation

  • Order notary stamps and process notary renewals for Escrow Officers

  • Maintain Birthday/Anniversary calendar and assist with cards/flowers/other acknowledgments by Leadership

  • Order office supplies, marketing material, business cards, employee appreciation items

  • Assist with expense reporting

Knowledge and Skills/Technology Used

  • Excellent written and verbal communication skills

  • Experience with MS Office suite, which include word processing, spreadsheets, databases, graphics and desktop publishing applications

  • Familiarity with relevant company operating systems

  • Attention to detail

  • Organized, ability to multi-task

  • Customer service orientation

  • Problem solving and analytical skills

  • Handle sensitive information in a confidential manner
