Position Summary
- The Medical Records Technician at The Arrigan Rehabilitation Center is responsible for maintaining accurate, organized, and confidential patient health information in accordance with state and federal regulations. This role supports the clinical and administrative teams by ensuring timely access to documentation that is essential for coordinated, multidisciplinary patient care.
Role & Responsibilities:
- Maintain and Update Patient Records Organize, review, and update patient charts and electronic health records (EHR) to ensure accuracy, completeness, and compliance with Arrigan Center standards.
- Process Requests for Information Manage internal and external requests for medical records, ensuring all releases comply with HIPAA, Rhode Island Workers' Compensation requirements, and Arrigan Center policies.
- Data Entry and Documentation Accurately enter patient demographics, treatment notes, and provider documentation into the EHR system.
- Quality Assurance Audit records for missing, incomplete, or inconsistent information and follow up with clinical staff as needed to maintain high-quality documentation.
- Record Retrieval and Filing Retrieve, file, and archive patient records in accordance with organizational retention schedules and regulatory guidelines.
- Release of Information (ROI) Verify authorizations, prepare records for release, and document all disclosures in compliance with privacy regulations.
- Support Multidisciplinary Operations Assist PCCs, Behavioral Health, PT/OT, Vocational Services, and administrative staff by providing timely access to patient information needed for treatment planning, discharge coordination, and case management.
- Compliance and Confidentiality Maintain strict confidentiality of all patient information and adhere to HIPAA, state regulations, and Arrigan Center policies at all times.
Qualifications
- High school diploma or equivalent required; an associate degree in Health Information Technology or related field preferred.
- Prior experience working with electronic health record systems preferred.
- Knowledge of medical terminology, HIPAA regulations, and healthcare documentation standards.
- Strong organizational skills and attention to detail.
- Ability to work efficiently in a fast-paced, multidisciplinary rehabilitation environment.
- Excellent communication and customer service skills.
Preferred Skills
- Experience in a rehabilitation, outpatient, or workers' compensation setting.
- Familiarity with release-of-information processes and Rhode Island medical record regulations.
