Purpose of the role

You will be responsible for providing advanced administrative and project support across one or multiple large, complex projects. The purpose of this role is to ensure information flows smoothly, commitments are tracked, and project leadership has accurate, timely, and well-organized data to support decision-making. Your work directly contributes to project performance, client confidence, and team effectiveness.

Core Responsibilities

You will be responsible for:

* Providing complex administrative and logistical support to major projects and senior project leaders.

* Collecting, reviewing, analyzing, and preparing complex and/or confidential data for reports, dashboards, budgets, presentations, and other project deliverables.

* Managing non-routine, sensitive, or confidential inquiries from internal and external stakeholders with sound judgment and professionalism.

* Coordinating meetings, workshops, and project reviews, including scheduling, agenda preparation, minutes, and action tracking.

* Supporting progress tracking, documentation control, and adherence to project processes and timelines.

* Coordinating travel, site visits, and group activities tied to project execution.

* Using advanced word processing, spreadsheet, and presentation tools to produce clear, accurate, and visually effective materials.

* Applying independent judgment to prioritize work, resolve issues, and recommend practical solutions aligned with established policies and project goals.

* Acting as a knowledgeable point of contact for project systems, processes, and tools, including troubleshooting issues and assisting others.

* Taking a lead role in project-based administrative initiatives and, where appropriate, guiding or training less seasoned team members.

What you'll bring to the role

* Secondary school education or equivalent, with 7+ years of relevant experience in advanced administrative or project support roles.

* Demonstrated experience supporting senior managers or executives in complex, high-visibility environments.

* Strong analytical capability, including comfort with detailed data, involved calculations, and budget or cost-related information.

* Advanced proficiency with word processing, spreadsheet, and presentation software, with a strong eye for accuracy and clarity.

* The ability to work independently with minimal supervision while aligning work to broader departmental and project objectives.

* Sound judgment and discretion when handling confidential or sensitive information.

* Clear, confident communication skills, with the ability to inform, influence, and collaborate through written reports, presentations, and day-to-day interactions.

* A practical, solutions-oriented mindset with a strong understanding of systems, processes, and tools relevant to project administration.

* The confidence to take ownership, lead by example, and support continuous improvement within the project team.
