NOTE: Language Requirements:
This position requires applicants to be bilingual in English and Spanish (fluently be able to speak, read, and write in both languages).

Under the direction of the Dean of Community Education, the Associate, Enrollment Services, provides comprehensive support in course selection, registration, and funding for adult basic education students. The role is responsible for scheduling appointments, MATC site navigation, processing documents, and ensures a seamless service experience. Promotes student retention and completion and will be located within the Community Education Hubs.

Work is detailed and diversified requiring independent judgment, analytical skills, and decision-making abilities according to established practices and procedures. Supervision received is general in nature using established procedures and general objectives and limited to problems or unusual conditions. Works both independently and with staff in a teamwork approach.

Characteristic Duties and Responsibilities

  • Enrollment Processing & Documentation:Provides day-to-day processing of enrollment-related paperwork. Processes, prepares, and validates student documents relating to all aspects of the enrollment process. Reviews student enrollment documents (registrations, drop/adds, high school/college transcripts) to prepare for scanning. Completes student registration.
  • Student Support & Communication:Provides daily customer service and technical assistance to students, including support with Blackboard, Self-Service, and password resets. Responds to inquiries via phone, email, and in-person, and conducts regular follow-up to ensure student needs are met. Refers students to appropriate MATC support services and community resources, offering retention-focused solutions. Applies knowledge of Student Services and Academic procedures to share relevant information with discretion.
  • Service Request Troubleshooting:Resolves and troubleshoots problems in daily processing of service requests related to application processing, testing, course selection, and registration.
  • Operational Support:Supports daily office operations by processing mail, email, and inquiries from internal and external sources. Maintains electronic databases for grant tracking, coordinates testing schedules with instructors, and participates in campus and college initiatives.
  • Ethics and Confidentiality:Practices honesty by demonstrating a consistent and uncompromising adherence to strong moral and ethical principles, values, truthfulness, and accuracy in all actions. Addresses all student and employee behavior in a confidential and respectful manner.
  • Collaborative Teamwork:Establishes, maintains, and enhances positive working relationships with staff, faculty, students, administrators, and vendors.
  • Continuous Learning & Professional Development: Maintains current knowledge of best practices and standards in higher education with an emphasis on community colleges. Actively participates in applicable workgroups, trainings, workshops, seminars, committees and professional associations or conferences to promote continuous learning.
  • Other duties: Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.

Qualifications

Compliance with all state, federal, and accreditation standards/requirement, as well as all MATC policies and procedures.

Required Minimum Education and Experienced. Must meet ALL of the requirements listed below:

  • High school diploma or GED equivalent AND;
  • At east three (3) years of office experience, AND;
  • Language Requirements: Must be bilingual in English and Spanish (fluently be able to speak, read, and write in both languages).
Preferred Minimum Education and Experience:
  • Associate's degree or higher with course work in business, or related field; AND
  • At least two (2) years of office experience, AND'
  • Language Requirements: Must be bilingual in English and Spanish (fluently be able to speak, read, and write in both languages).
KNOWLEDGE, SKILLS, & ABILITIES
  • Knowledge of District policies and procedures; ability to interpret and communicate admissions, financial aid, registration processes and guided pathway programs.
  • Ability to assemble, organize and maintain complex records and data and prepare reports from such data.
  • Ability to respond professionally to inquiries, complaints and information from various stakeholders.
  • Experience utilizing record keeping and experience with document maintenance, retention and organization protocols.
  • Ability to overcome obstacles by engaging internal and external resources.
  • Ability to complete projects in a higher education setting.
  • Ability to work in a fast-paced environment.
  • Ability to communicate effectively through both oral and written means including public speaking and presentation skills.
  • Ability to establish, collaborate and maintain effective work relationships with students, faculty, staff, representatives of outside agencies, and the general public.
  • Ability to convey an image of professionalism and dedication in work related activities.
  • Ability to work with culturally diverse student and employee populations.
  • Proficiency in the use of computers and software specific to position, including spreadsheets and Google Suite.
  • Ability to successfully work independently.


Supplemental Information

Start Date: This position supports the Community Education Department and is available to start immediately mid-to-late January or early February 2026.

Hours: This is 40 hour a week, year round, 100% IN PERSON position. NOT available for hybrid or virtual hours. Location will be based out of our Walker's Square campus however may have to flex to other locations based on departmental need and with notification. Employees will conduct all work hours in the State of Wisconsin, performing work outside the state is strictly prohibited.


Compensation: Hourly pay rates are listed up to the midpoint of the range and placement is determined based on years of experience, internal equity, and a review of the applicant's employment and educational background as listed on the job application.
