The Program Assistant assists the GPPA Medical Scholars Director and Associate Director in the planning, development, coordination, and implementation of the GPPA Medical Scholars Program for approximately 120 undergraduate students. They assist in the efficient administration of the program's day-to-day operations, special event management, long-range planning for program growth and academic requirement revisions, and the development of processes and materials related to marketing, outreach, communication, and Website design. This position develops and administers operations that support the recruitment of highly qualified and diverse applicants to the GPPA Medical Scholars (program admissions) and provides administrative support for student entry into the Medical Doctor (M.D.) program of the UI College of Medicine (COM). This position serves as a liaison between UIC COM, West Campus, and UIC East Campus, including GPPA programs and UIC Honors College.

Duties & Responsibilities:
  • Oversee all aspects of student recruitment, application review, interviews, 2nd look visit and coordinate student application to medical school
  • Provide program knowledge and expertise of procedures and technical standards to students, program leadership and UIC administration
  • Support GPPA Medical Scholars courses and program activities. Coordinate program evaluations and summarize findings.
  • Coordinate all aspects of special events (Oath Ceremony, Orientation Day, Convocation) and MSAC activities
  • Tracks student progress and set up advising meetings. Work with Honors College to maintain lists and updates
  • Updates program website, marketing materials and LMS (Blackboard)
  • Serve on committees both internal and external to university that involve GPPA Medical Scholars
  • Oversee program finances including budget tracking, program purchases, student reimbursements
  • Oversee and provide directions to GA or other office staff who support GPPA Medical Scholars
  • Other duties as assigned


Minimum Qualifications Required:

  1. Bachelor's degree.


Preferred Qualifications:
  • Masters in Education, Public Health or related field of study
  • Five years' experience in working in higher education with direct student contact
  • Experience managing websites, social media, and digital content for health professions educational programs.
  • Experience in marketing, outreach, or communications in an academic or healthcare-related environment.
  • Experience with logistics and organization of event planning and program development for health professions students.
  • Experience with managing budgets and UI financial systems.
  • Knowledge of digital marketing, branding, and audience engagement strategies for academic programs.
  • Strong organizational and project management skills to oversee multiple aspects of program administration.
  • Excellent written and verbal communication skills for student outreach, program materials, and stakeholder engagement.
  • Proficiency in website design and maintenance, with experience using content management systems (CMS) such as WordPress
  • Graphic design and digital media skills for creating program materials, marketing collateral, and online content.
  • Data management and analysis skills, including proficiency in tools such as Excel, CRM systems, or admissions databases.
  • Proficiency designing learning management system interface, such as Blackboard.
  • Ability to develop recruitment strategies and manage admissions-related operations effectively.
  • Judgement to process and prioritize the importance of issue.
  • Ability to develop spreadsheets and databases
  • Ability to deal effectively with various personalities
  • Ability to manage and prioritize multiple tasks
  • Accuracy and thoroughness
  • Self-motivated, reliable, flexible, hard-working and able to work independently
  • Ability to design and implement outreach and marketing initiatives that enhance program visibility and engagement.
