Posting Summary
Rutgers, The State University of New Jersey is seeking a Work Assistant (Finance) within the Rutgers Institute for Translational Medicine and Science ( RITMS).

In this role, the Work Assistant will be responsible for preparing grant proposals for Federal, State, and non-profit agencies, as well as reviewing all business components of grant applications and clinical trial contracts for accuracy and completeness, including budget development. Additionally, the Work Assistant will review grant terms and contract conditions to ensure compliance with required guidelines. The role requires knowledge of general accounting principles and practices, along with an understanding of key accounting concepts, theories, and terminology. Applicants must be able to analyze awarded grants or contracts, perform accounting assessments, and develop budget projections for the full duration of each project.

Essential Duties and Responsibilities include the following:

  • Assists with the coordination and administration of Institute programs, and/or projects, such as grant/contract proposal preparation, tracking clinical trial amendments, pilot grants, or protocols associated with special projects.
  • Gains knowledge and assists in all aspects of the budgeting process for the departments, including forecasting/modeling, accounting, reporting and financial analysis.
  • Maintains records of expenditures, invoices, and payments, tracks actual vs budget variance, and assists in generating monthly financial reports.
  • Will be thoroughly engaged in the preparation of budgets for both academic and industry projects.
  • Maintains confidential correspondence and financial records.
  • Understands and adheres to Rutgers' compliance standards as they appear in RBHS's Corporate Compliance Policy, Code of Conduct and Conflict of Interest Policy.
  • Performs other related duties as assigned.

Minimum Education and Experience

  • Candidates must be enrolled in an undergraduate program in Accounting, Business Analytics, Finance, General Business, or a related field.
  • Equivalent experience, education, or training may be considered in place of the stated academic requirements.

Required Knowledge, Skills, and Abilities
  • Strong verbal and written communication skills are essential, along with the ability to work both independently and collaboratively.
Preferred Qualifications

  • Must be currently enrolled in a degree-granting program.
  • Have familiarity with the Oracle Financial System and experience with financial statement preparation and general accounting concepts.
  • Must be computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Access, and PowerPoint.
  • Advanced skill level in Excel.
  • Must be capable of independent decision-making, and multitasking.
  • Strong communication skills (verbal and written).
  • Demonstrated strong analytical abilities.
  • Ability to meet or exceed customer service standards and expectations in assigned unit(s) and/or across multiple areas in a timely and respectful manner.
  • Self-motivated, detail-oriented and capable of handling significant responsibility, as well as shifting priorities; exercises discretion; takes initiative to resolve problems.
